Accounting Administrator – Girls Leadership Institute – Oakland, CA

Girls Leadership teaches girls the skills to know who they are, what they believe, and how to express it, empowering them to create change in their world. We work with girls, parents and caregivers, and educators to ensure lasting impact.

Girls Leadership (GL) is a small, but fast-growing nonprofit organization. Reporting to the Director of Operations and Finance, the Accounting Administrator will also work closely with the outside Financial Advisor. It is a position that requires exceptional attention to detail; good judgment; efficiency of data input; excellent prioritization, organizational, and communication skills.

Responsibilities:

Performs all administrative accounting duties including maintenance of accounting records in QuickBooks.
Prepares sales tax returns.
Accounts Receivable tasks, including creating new invoices and statements, sending them to customers, preparing deposits, and recording donations and earned revenue from cloud software;
Accounts Payable tasks, including preparing and sending checks and entering AmEx and debit card transactions, reviewing check requests, verifying transaction information, and obtaining authorization of payments. Follow up on missing documentation and/or authorizations as necessary.
Payroll tasks, including preparation and entering into online software, tracking time off, and sending out paystubs. Set up new hires, and process terminations. Processing and accounting for deductions for all employee benefits;
Ensuring that all files are organized and maintained;
Tracking petty cash;
Conducting Revenue and Donation Reconciliation each month with the Director of Operations and Finance;
Support the Director of Operations and Finance in managing cash flow;
Other administrative duties as assigned.

Qualifications:

A bachelor degree is preferred.

One to two years of work experience; we are willing to train in accounting tasks.
Maintain high standard of professionalism.
Excellent written and verbal communication skills.
Fluent in Quickbooks, MS Word, Excel and Mac-friendly; bonus points for Salesforce.
Detail-oriented, with a high degree of organization and resourcefulness.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Passionate about girl-empowerment and leadership.
Prior administrative experience with excellent references.

Hours: 20 Hours per week, schedule flexible, with potential to go Full Time.
