POSITION DESCRIPTION
TITLE: ACCOUNTING ASSISTANT STATUS: Exempt – Full-Time REPORTS TO: DIRECTOR OF FINANCE AND ADMINISTRATION **
SUMMARY:
The Accounting Assistant is responsible for accounting/bookkeeping functions, clerical support, IT support and HR support. This position supports the Director of Finance and Administration.
RESPONSIBILITIES:
Accounting
Responsible for ensuring that invoices are ready for processing including coding and appropriate documentation.
Responsible for ensuring that all cash receipts are recorded in an accurate and timely manner.
Maintains vendor and customer records in Sage.
Prepares checks for processing on a weekly basis
Creates and processes general journal entries on a monthly basis including transfers, prepaid insurances, reclassifications, and monthly accruals
Performs monthly reconciliations of all cash accounts.
Maintains balance sheet accounts and performs monthly account analysis.
Assists DFA with annual audit including preparation of audit spreadsheets.
Monitors administration expenses and adherence to budget.
Maintains the organization’s depreciation schedules and inventories.
Prepares monthly invoices including all supporting documentation for the Commonwealth of Massachusetts.
Responsible for the preparation and recording of all journal entries and spreadsheets for the weekly payroll.
Clerical, IT, and HR Support
Responsible for all filing for the finance department.
Assists DFA with all petty cash and gift card processes.
Assists DFA in developing systems to ensure the timely and accurate processing of all benefits, including employee contributions.
Assists the DFA in maintaining network of approximately twenty five computer work stations to ensure their security and optimal performance.
Perform other duties as requested by the DFA or CEO.
QUALIFICATIONS:
College degree, preferably in accounting.
Minimum of five years’ experience in equivalent position with strong office management and administrative background.
Must be computer proficient.
Must be able to lift up to 25 pounds.
SKILLS:
Excellent written, verbal and interpersonal skills.
Sophisticated IT management skills and proficient knowledge of Excel, Access, Power Point, Word and accounting software.
Ability to create and foster a healthy and positive work environment.
Extremely organized and structured with excellent command of details.
Ability to work independently.
Creative problem solver with strong strategic and tactical sense.
ADDITIONAL INFORMATION:
As with all Hildebrand staff positions, a CORI check is required.
As with all Hildebrand staff positions, there is a 90-Day evaluation period.
