Organization Profile:
Founded in 1989, Making Waves was established to address the disparity in educational opportunity that exists between suburban and urban youths. Making Waves consists of two non-profit organizations. Making Waves Foundation (MWF) is a private operating Foundation, led by Sherry Smith, the Managing Director. The Foundation is charged with providing organizational strategy and vision, developing partnerships and serving as an educational hub. In addition, MWF oversees business services and a robust development and communication effort that provides financial and communication resources to the full organization. The Foundation also includes established and successful college/career coaching program called the College and Alumni Program (CAP). This program, which transitioned from an Education Program model, now supports college students with intensive life coaching, financial-aid support and a need-based scholarship of $10,000 annually. In 2007, Making Waves Academy (MWA) was founded as a 5th-12th grade public charter school to expand the outreach and impact of Making Waves. MWA is led by Alton Nelson, Chief Executive Officer, the school is located in the Hilltop area of Richmond currently serving 760 low-income Wave-Makers, (84% Latino, 14% African American 2% Asian American). The combined annual operating budget totals $23 million, and the organization employs over 100 staff members.
Responsibilites:
Accounts Payable:
Ensure all payables have proper approvals and account code allocations prior to payment
Match up credit card receipts to statement, post, and reconcile credit card expenses
Maintain files for vendors (such as contracts, W9 and paid invoices)
Train Staff on procedures relating to coding expenses
Prepare annual filing of Form 1099MISC for both vendors and IRS
Assist in annual audit fieldwork such as document retrievals
Payroll:
Responsible for the preparation and processing of biweekly payroll for over 120+ employees for both charter school and foundation; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions (such as teacher hold-back payments, stipends, longevity bonus)
Manage employee enrollment and contributions into retirement plans and remit contributions
Calculate final paychecks and severance pay for separating employees
Reconcile 941 to Quarterly Payroll expenses
Prepare and post bi-weekly payroll journals to QuickBooks
Review and clear payroll accounts (such as employees’ flexible spending accounts, life insurance, payroll advances)
Budget vs. Actual variance analysis for payroll
Responsible for the coordination efforts between payroll and human resources departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g., overtime, leave balances, head count, Personnel Action Forms, salary reduction agreement)
Train new staff on Paychex payroll systems (such as completing and approving timesheets)
Reconcile payroll prior to transmission and validate data before payroll is finalized
Assist in annual audit fieldwork
Responsible for handling annual workers comp audit
Position Requirements:
Knowledge of QuickBooks
At least 3 years of Payroll, Accounts Payable and General Accounting experience
Knowledge of Paychex payroll system desired
Demonstrate knowledge and proficiency in MS Office software applications
Ability to complete tasks with minimal supervision
Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
Strong organizational skills and the ability to work under pressure
Ability to handle and prioritize multiple tasks and meet deadlines
Graduation from 4-year college with a major in Business/Finance or appropriate degree in a related field
