General Job Description:
The Administrative & Outreach Coordinator will report to the SEEDS Administrative Director. Duties include: serving as the first point contact with SEEDS clients and visitors, handling general administrative duties in support of the Administrative Director, Executive Director, and staff, overseeing website and social media, planning and execution of all outreach events, additional duties as necessary.
Responsibilities (include but are not limited to):
A. Administrative Assistance and Reception
Meet and greet clients and visitors to the office
Open and close office at beginning and end of day
Answer telephones, message taking and /or routing calls to staff members, as well as general emails
Maintain hard copy, and electronic filing systems
Perform general clerical duties including photocopying, faxing, mailing, and filing
Set up, coordinate and track meetings and conferences
Preparation of client invoices
Preparation of deposits to the Bank
Organize receipts for credit card statements
Oversee correspondence, including sending out mail, and signing for and distributing UPS/FedEx/USPS packages
Update and maintain data and information in SEEDS systems, including our volunteer management system, our donor database, and our website
Assist with IT matters when necessary
Maintain inventory and organization of office supplies, kitchen
Re-ordering of office supplies as needed (with approval of and in coordination with the Administrative Director)
Care for office plants
Coordinate with janitorial service, landlord and contractors for office needs
Prepare Thank you letters for contributions and other correspondence for the Executive & Administrative Director.
Provide occasional research for the Executive Director
B. Website and Social Media Oversight
Maintain and update SEEDS website regularly
Maintain an engaging presence on Facebook, Twitter and other social media outlets
Advertise events and announcements on website and social media outlets
Assist staff with updating and maintain program, event, and service announcements through the various media channels
C. Outreach and Event Coordination
Assist in the coordination of organization’s events such as Cultivating Common Ground, Volunteer Appreciation, Staff Retreat, etc.
Organize staff events, including ordering lunch, reserving spaces, etc
Seek out new outreach, fundraising and event opportunities that promote SEEDS image and brand
Be the lead contact and interface for all events, outreach and fundraisers
D. Additional Responsibilities
Assistant to the Executive Director: Collaborate with Executive Director and provide executive assistance when needed
Assistant to the Administrative Director: Collaborate with Administrative Director and provide executive assistance when needed
Take on other duties as assigned, including supporting SEEDS staff in project work
FLSA: Non Exempt – 32 hours a week
