Administrative Assistant – Ragazzi Boys Chorus – Redwood City, CA

Reports to: Executive Director

Duties include but are not limited to:

Accounting/QuickBooks
Invoices
Receivables
Payables
Financial reports
Payroll

Development Support
List management – updates, historical research
Tracking donor benefits
Development reports

Vendor Relations and Ordering
Uniforms
Office goods suppliers
Equipment vendors
Notary services
and others

Concert Support: Manage ticket sales prior to concerts with assistance of other office staff and the ED as necessary (does not require concert attendance)
e-Ticketing set-up and support
Front of House cash box prep and closing
Front of House electronic ticketing prep & support
Physical tickets and signage

Giants Game Support
Ticket request tracking
Ticketing

Tour Support
Track paperwork
Liaison with tour vendors

Camp Support
Monitor tuition payment
Liaison with camp vendors

HR
Tracking and reimbursement for fingerprinting of employees

Other Duties: Other duties as assigned by Executive Director

Relationships: Within Ragazzi

Meets weekly with Administrative, Artistic and volunteer personnel

Works collaboratively with other staff, faculty and key volunteers

Outside Ragazzi

Maintains ongoing contact with lessors, vendors and consultants

Skills Needed

Good written and oral communication skills

Familiarity and ease with QuickBooks

Familiarity with MS Office suite, in particular good Word and Excel skills

Ability to manage parents and volunteers courteously, efficiently and effectively

Ability to deal with a complex work environment, where multitasking is often needed

Ability to forecast, track and provide for office supply needs

Ability maintain confidentiality with regard to personal information about choristers and families
