The Administrative Assistant is responsible for providing administrative and clerical support in an effort to maintain an efficient office environment, maximize SJPC’s fundraising efforts as well as grow its presence in the community through PR and advertising campaigns. She/he must have the ability to work independently, communicate effectively both verbally and in writing and be able to maintain good working relationships with the clients, employees, the public and volunteers. It is essential that this person share the organization’s vision of strengthening families through parent education in an effort to break the cycle of child abuse. This part time role reports to the Development Director.
Specific Responsibilities:
General Administrative
Answer phones, transfer to the appropriate staff member, or take message
Maintain office filing, storage systems, inventory and basic organization
Monitor and purchase office supplies and program supplies within approved budget
Performs clerical and administrative duties as required.
Assist Development Director
Coordinate with Development Director on execution of all fundraising events
Maintain mailing lists for events and appeals
Manage SJPC’s social online media presence including website and Constant Contact
Acknowledge donations with using Giftworks
Assist Volunteer Coordinator
Update volunteer profile information and record volunteer hours in GiftWorks
Prepare and stock marketing material as necessary to deliver in different forums
Set up and break down the classroom and prepare class materials as needed
Monthly updates of volunteer section of website and social media outreach
Assist Volunteer Coordinator with annual volunteer recognition event
Preferred Qualifications
Proficient use of Microsoft Word, Excel, Powerpoint, Publisher, Outlook, & Social Media Applications. Giftworks or other CRM software a plus
Design and layout experience
Ability to operate basic office equipment such as, computers, copiers, printers
Refined and well-organized multi-tasking skills
Good writing and problem-solving skills
Ability to effectively communicate
Personable and able to work nonjudgmentally within a customer service framework
Bilingual: preferred
