Controller – Grand Street Settlement – New York, NY

DEPARTMENT: Finance

LOCATION: Lower East Side, Manhattan

REPORTS TO: Director of Finance

SALARY; $75,000-90,000; commensurate with Experience

DATE: October, 2015

Job Summary: Oversees all fiscal and accounting transactions, including accounts payable, receivable, cash receipts and disbursements, general ledger, payroll, monthly reporting, monthly closing and contract reimbursement billing reports and office supply purchasing.

EDUCATION, EXPERIENCE AND SKILL REQUIREMENTS:

Bachelor’s Degree in Accounting, related graduate degree preferred
At least five (5) years’ experience in areas of fiscal management and reporting, audits and fund accounting.
Experience in Non-Profit Accounting with multi-funded projects
Excellent computer skills (Excel and Fund EZ)
Requires an in depth knowledge of financial accounting, GAAP, internal and management control systems, information systems applications, and audit planning.
Strong analytical capabilities and supervisory skills.
Strong interpersonal and communications skills

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Maximizes return on financial assets by establishing financial policies, procedures, controls, and reporting systems.
Protects assets by establishing, monitoring, and enforcing internal controls
Writes and updates accounting and fiscal procedures.
Reviews and signs general journal entries and cash receipt entries before they are posted into the ledger.
Reviews and approves all check requisitions, reviews the program codes and account codes.
Reviews the balance sheet, income and expense statements on a monthly basis. Makes reclassification and adjustment entries on a monthly basis.
Reviews payroll percentage allocation to programs, reviews health insurance allocation and pension allocation to programs.
Coordinates with department heads on when to prepare program reports to be sent to government agencies.
Calculates the allocation rate for some fringe benefits and overhead based on the new budget at the beginning of the fiscal year.
Trains new staff and answer questions of accounting/fiscal staff and of program managers. Helps staff to solve technical problems.
Prepares monthly Financials and works with Director of Finance/Executive Director to prepare reports for Board meetings.
Updates investment income schedule on a quarterly basis.
Deals with agency’s auditors and government auditors. Prepares year-end book closing and contract closing.
Handles payroll year-end ADP computer system closing.
Organizes and coordinates audit preparation. Prepares audit schedules and reviews schedules prepared by staff. Deals with auditors and answers auditors’ questions about general audit and A-133 audit.
Prepares year-end audit financial statements. Reviews audit report. Reviews 990 and 497. Files 990 and other related compliance forms.
Monitors the budget implementation and monitors the expenses.
Prepares program expense reports for the purpose of fund raising proposal submission. Prepares agency’s budget for fund raising purposes. Prepares any fiscal analysis and reports required by foundations and (or) funders.
Works with department heads on budgets for all contract renewal once year and contract budget modifications during the year.
Prepares proposal to apply for indirect cost rate for federal grants.
Monitors the matching funds and prepares yearly matching fund budget.
Monitors fiscal compliance on government contracts.
Prepares and administers agency’s entire annual budget for salary and fringe benefits, works with department heads on OTPS budget on programs.

Computer System Maintenance:

Maintains several computer systems (software) used in accounting and fiscal department and provides trouble shooting for this software.
ADP payroll data base interface
Payroll interface and conversion software
Fund EZ to Access conversion and billing reports conversion
Access data base (create reports)
