Position Summary/Overview:

The Controller is responsible for administration of financial systems and accounting practices that adhere to Generally Accepted Accounting Principles and allow for accurate and timely financial reporting., The Controller participates in the development of effective and efficient internal systems and processes, and administers payroll, benefits, insurance, and taxes, all under the supervision of the Vice President, Finance and Administration.

The Controller plays a key role in supporting GTCF’s programs and staff, and administering employment and human resources policies.

Functions

Finance/Accounting

Develop accounting policies and procedures to provide adequate internal controls
Coach/train other staff members as needed in performing their duties according to the Accounting Policies and Procedures Manual
Calculate and record administrative fees and annual spending amounts
Record activity and reconcile bank and investment accounts monthly
Prepare Accounts Payable items for entry. Provide oversight, training and review of AP and AR activities of the Office Manager and Admin Support
Maintain records for CRUTs and Annuities and process quarterly payments with cover letter
Process cash disbursements for AP, grants and scholarships
Ensure accurate records and reporting for vendors including colleting W-9s and preparing 1099s and 1096s at year end
Make sure all account detail is reconciled monthly to control accounts

Reporting

Prepare financial and Management reports, comprising consolidated and subsidiary modules, activity forecasts, cash flow forecasts, variance reports, and related analysis
Prepare work papers and respond to auditor requests for the annual financial statement audit
Prepare and mail Quarterly Fund Statements
Provide Quarterly Fund Statements for on-line donor platform

Human Resources, Employee Benefits and Payroll Administration

Work with management to identify and establish comprehensive, competitive, cost conscious employee benefits package
Maintain organized and accurate employee records, including employee files and databases. Track and update employee census data
Assist in the onboarding of new hires, including benefits and payroll paperwork and enrollment as needed
Provide information to staff related to employee benefits
Calculate and process payroll deductions and record payroll transactions in accounting system
Submit payroll to third party vendor; confirm quarterly filing of tax returns and payment by third party vendor
Deposit employee and employer 401(k) contributions timely

Information Technology

Coordinate with the information technology consultant to implement best practices in safeguarding data, including system security and backups
Troubleshoot minor problems with the computer network and hardware
Work with the Office Manager to coordinate service support with the outside information technology consultant as needed
Maintain inventory of computer equipment, services, licenses
Order hardware and software and arrange for installation as needed
Maintain log of information technology service requests and their resolution
Arrange for additions, deletions, upgrades and patches to FIMS and other software
Orient and train new staff on computer network system including password security, log- on procedures and remote access
Maintain the IT portion of the Disaster Recovery Plan

Gifts and Pledges

Train Office Manager and Administrative Associate in gift and pledge payment entry
Review daily gift entry for accuracy
Adjust gifts as necessary
Reconcile gifts to deposits and post.
Review acknowledgement letters for accuracy of fund and gift amount and appropriate tax language
Manage pledges payable, including maintain and monitor credit card processing system for recurring pledge payments
Work with staff to monitor accounts receivable – identify and process write-offs

Skills Required/Experience

Bachelor’s degree in Accounting/Business.
10+ years of professional level accounting and finance experience including experience managing budget and forecast and preparation of financial statements.
Proactive approach in developing/improving processes and systems
Demonstrates strong Microsoft Excel skills with experience in Microsoft Word and Outlook.
Strong organizational, analytical, reasoning and problem solving skills.
Comfortable with multi-tasking in a fast paced, time sensitive environment.
Positive personality driven by self-motivation and strives for operational excellence.
Ambition to learn, develop and receive constructive feedback.
Experience providing support for human resources issues in a small team, including benefits, payroll and compliance requirements.
Background and experience in maintaining local area network/supervising IT skills and/or working with external vendor
Excellent interpersonal and communication skills. Must be able to work with staff at all levels of the organization and successfully deliver information and recommendations to executives.
Ability to work under pressure and achieve required deadlines.
Demonstrated ability to work successfully in a team environment.
