Coordinator, Individual Giving – American Film Institute – Los Angeles, CA

PRINCIPAL RESPONSIBILITIES:

The Coordinator, Individual Giving is responsible for providing support to the Director, Individual Giving and collaborates with the Director, National Advancement in prospect research and event support. In addition, the Coordinator works closely with the Senior Manager, Individual Giving to manage the member customer service and benefit fulfillment processes. The Coordinator is an integral part of the Individual Giving team for the Institute, supporting a rapidly growing national program of donors from general membership ($60+) through major gifts ($25,000+).

PRINCIPAL DUTIES:

• Provide support to the Director, Individual Giving in the oversight of the Individual Giving department, including coordinating staff meetings/events and updating notes in Raiser’s Edge, maintaining Moves Management prospect information in the database and assisting on special research projects and proposals.
• Assist in identifying and tracking viable prospects for Premiere Circle and Major Gifts programs. Manage the agenda and follow-up for Major Gifts meetings.
• Coordinate mailings for Premiere Circle acquisition campaigns, special appeals and renewals on a monthly basis. Assist in strategies and track results.
• Assist the Director, Individual Giving in tracking department expense budgets.
• Prepare and track purchase orders and vendor invoices to ensure prompt payment.
• Respond to member queries and concerns through the 1.800 phone line and emails on a daily basis.
• Maintain membership benefit fulfillment on a weekly basis, coordinating and troubleshooting with outside fulfillment house.
• Prepare incoming gifts from the daily mail for gift processing.
• Generate and distribute weekly gift receipts for all departments for acknowledgment.
• Create and track acknowledgments in Raiser’s Edge for Membership, Premiere Circle, Major Gifts and Thesis/Directing Workshop for Women productions.
• Create queries and exports, donor pipeline management and reports, append and update Wealth Engine data for donors, etc. within Raiser’s Edge.
• Support the Individual Giving and National Advancement offices with donor prospect research briefings, profiles and lists as needed using Wealth Engine and Prospect Generator, amongst other resources.
• Assist at various AFI events as needed, including AFI FEST, AFI Life Achievement Award and summits of the AFI National Council.
• Perform other duties and responsibilities as assigned.

EXPERIENCE/SKILLS REQUIRED:

• Bachelor’s degree required.
• Minimum three years Advancement/fundraising experience required.
• Minimum two years Administrative experience required.
• Exceptionally detail-oriented with the proven ability to handle numerous tasks with appropriate follow-up and reporting activities while not losing sight of the big picture.
• Can work independently while being an integral member of a high-functioning team.
• Proven project management skills with the ability to take a project from conception through completion with minimal supervision.
• Excellent oral and written communication skills with the ability to convey complex concepts and procedures in simplistic terms.
• Strong time management, organizational and multi-tasking skills coupled with the ability to work independently and with minimal supervision.
• Strong diplomacy skills and professionalism are mandatory; this includes the ability to maintain complete confidentiality and discretion at all times.
• Superior database management and computer skills with expertise in Word, Excel and Raiser’s Edge.
• Possess a positive and professional attitude with the ability to work as a member of a high-energy, results oriented team.
• Personal integrity with the ability to inspire confidence and trust.
• Demonstrated knowledge and experience in the film and television community is desired.
