Reporting directly to the Director of Resource Development, this dynamic special events and creative fundraiser professional will be responsible for securing new sponsors and income, executing fundraising programs and events, developing relationship and expanding the organizations brand in the community.
POSITION OVERVIEW:
Experienced, take charge professional with ability to manage administration and logistics in support of one director in a busy resource development environment.
Assist with coordination of up to 12 events per year.
Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.
The selected individual should have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers.
PRIMARY DUTIES AND RESPONSIBILITIES:
Assist with the review and negotiations for event space and contracts, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, secure vendors including photographer, videographer, florist, entertainment entities, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of the organization and aggressively gather information on each project to achieve quality event productions;
Conduct research, make site visits, and find resources to help make decisions about event possibilities;
Work with development team on social media and website updates; post when appropriate;
Assist with the creation of initial artwork in-house and/or work with graphic designer to ensure design schedule is on target on as needed basis;
Oversee invitation mailings, as well as Journal production and content, including timely follow up on journal ads;
Oversee recruitment and management of event volunteers;
Propose new ideas to improve the event planning and implementation process;
Serve as liaison with vendors on event-related matters;
Assist with managing on-site production and clean up for events as necessary;
Research gifts-in-kind and raffle items;
Assist with preparing budgets, maintain accurate accounting of event expenses and income and provide periodic progress reports;
Perform accounts receivable and accounts payable functions and reconcile any discrepancies;
Keep track of event finances including check requests, invoicing;
Ensure collection of revenue for each event in a timely fashion;
Manage all income records and acknowledgements in relation to each event;
Prepare agendas, materials, meeting minutes and track outreach;
Assist in the management and execution of all fundraising committee meetings as needed;
Provide support to the Fundraising committee leaders as needed;
Research prospective sponsors, honorees, speakers, award presenters; present recommendations – contact appropriate individuals to secure bookings; create collateral materials including but not limited to bios, background info, introductory points for the presenter; follow up pre, during, and post event with sponsors, honorees, speakers.
RELATED SKILLS AND EDUCATION:
Knowledge of principles, methods and practices of special event fundraising;
Sensitivity to confidential donor information;
Excellent communication skills, including writing, proof reading skills;
Manage multiple projects and work assignments; and prioritize tasks;
Excellent interpersonal skills both in person and by phone, with a high level of professionalism;
Ability to work independently and to problem solve as necessary;
Fantastic customer service ethic and high expectations for quality;
Experience with auctions;
Prior experience working with volunteers;
Website management skills preferred;
Flexible schedule with the ability to work evenings and weekends as needed;
Bachelor’s degree preferred; significant work experience can substitute for the degree;
At least 3 years’ experience with office administrative management;
At least 2 year experience coordinating special events;
Proficient using the latest versions of RaisersEdge, Microsoft Word, Excel, PowerPoint, Publisher, Email and mail merges; email and web searches.
