POSITION SUMMARY

The Development and Operations Associate’s main responsibilities are to provide administrative support for our Development team and to execute multiple ongoing Operations tasks. The ability to manage different projects for multiple people while retaining details is critical. Time management and prioritization skills are a must in this highly dynamic office environment. The ideal candidate has the ability to stay focused and calm in a fast-paced environment of dedicated and passionate environmental and social advocates.

Responsibilities:

Development:

Sales Force and Salsa data entry, maintenance, and hygiene
Maintain and pull SalesForce reports and email lists
Assist in donor mailings and stewardship processes
Coordinate with Communications and Development departments on multiple email blasts
Assist in donor mailings and stewardship processes
Maintain individual donor data, generate call lists for staff, and input call notes
Track and maintain publication sponsorships; ensure sponsorship benefits are delivered
Track, maintain, and follow up throughout Grantmaking RFP and Proposal process, including grantee communications
Conduct online research to identify prospective foundation funders
Research potential individual donors
Event planning for small prospective donor gatherings; upcoming 25th anniversary event

Operations:

Scan and file invoices and other documents
Upload accounting documents to cloud-based accounting system
Generate requisitions for bill payment
Set up Outlook calendars and other software for new staff/interns/fellows

Maintain Office Outlook calendar
Manage year-round intern program including posting openings, completing onboarding paperwork, setting up VPN on laptops, managing weekly work logs, submitting invoices, and completing exit paperwork
Serve as office interface with IT providers
Order new office software as needed
Manage monthly FreshBooks time-tracking reports
Some errands (post office, bank, etc.)

Qualifications:

Detail oriented, with strong ability to prioritize and manage time independently
Bachelor’s degree required
1-2 years in an administrative support role required
Knowledge and experience with SalesForce required
Knowledge and experience with Salsa a plus
IT troubleshooting and setup of PC systems a plus
Proficiency with Microsoft Office Suite, especially Outlook and Excel required
Knowledge of Linkpoint 360, Apsona, Drupal, and Basecamp a plus
Bookkeeping or similar experience a plus
Comfortable interfacing with IT provider
Good communications skills, both verbal and written
Good listening and note-taking skills; ability to retain detailed information
Ability to organize and manage multiple ongoing tasks
Strong work ethic, self-motivated, and committed to excellence
Interest in corporate accountability for environmental and social issues

Compensation: Negotiable depending on experience.
