Success in This Position
Under the direction of the Executive Director, the Director of Finance and Operations works to uphold MSMGF’s reputation as a well-run, financially responsible, stable, and principled organization. He or she effectively and efficiently supervises all general ledger accounting functions including maintenance of the general ledger, revenue recognition, fixed assets, payroll, accounts payable, accounts receivable and cash receipts and grant records. The Comptroller also designs, prepares, and implements all internal control policies and procedures; prepares and/or reviews all agency financial reports including monthly/annual financial statements. He or she keeps a close and productive relationship with AIDS Project Los Angeles, which continues to support the agencies book keeping, audits, payroll, and human resources functions through an administrative services agreement. In addition, the Director of Finance and Operations is a team player who anticipates the needs of a growing agency, is comfortable taking initiative, is well-organized and understands non-profit finance, is comfortable during high-pace/high-volume work periods, has good people skills, and plays an active leadership role on staff. He or she supervises the agency’s Contracts and Grants Manager and Operations Associate and provides support to the Executive Director.
What You’ll Do
The Director of Finance and Operations will have an active role in the monthly close, account analyses, and directing the MSMGF’s finance and administrative staff. Responsibilities include:
Reconcile and analyze accounts including receivables, prepaid expenses, deposits, inventory, accrued expenses, investments, fixed assets, leases, and inter-company balances;
Make journal entries including revenue, maintenance of recurring journal entries and oversight of cost allocations in accordance with grant requirements;
Review of monthly cost reimbursement invoices and oversight of cost allocations in accordance with OMB Circular A-133 requirements;
Coordinate the monthly book close;
Develop, implement, and maintain internal control policies and procedures for the agency.
Develop and maintain strong cost controls;
Prepare, review, and distribute monthly financial reports/financial statements for staff and management and the Board;
In close coordination with the MSMGF’s Executive Director, prepare, review and distribute the annual agency budget;
Prepare annual financial statements;
Coordinate and supervise the annual year-end close, independent audit, and tax return preparation;
Analyze changes in reporting requirements for the Internal Revenue Service and the Financial Accounting Standards Board and integrate where necessary.
Educate staff and management about any changes;
Supervise the Contracts and Grants Manager and Operations Associate;
Develop and revise cost allocation plans to optimize grant spending;
Manage administration of accounting software including report design and creation and maintenance of chart of accounts;
Assist staff in reading and understanding financial reports and conduct trainings for staff as appropriate;
Ensure the preparation of all required payroll and sales tax returns on a timely basis;
Oversee the development and ongoing revision of the agency’s finance and administrative policy and procedures; and
OTHER DUTIES MAY BE ASSIGNED TO MEET BUSINESS NEEDS.
What You’ll Need (Requirements)
Training and Experience:
Bachelors or Master’s Degree in Accounting or Business Administration; five to ten years related experience, including management of and full responsibility for financial statements, budgets, computerized general ledger, design of agency internal control systems, and grants management. Five years of experience supervising hourly and salaried staff. CPA preferred.
Knowledge of:
Non-profit accounting practices and procedures; automated accounting packages – Abila MIP Fund accounting experience preferred; general ledger maintenance; revenue recognition; payroll practices and procedures; fixed asset accounting; grant accounting and reporting; and OMB Circular A-133 audit experience.
Ability to:
Organize, prioritize and maintain multiple projects simultaneously; develop systems and procedures to facilitate the completion of projects and tasks; communicate effectively, persuasively and professionally, in both written and verbal forms, with a wide range of individuals, organizations and funding sources; work independently and effectively under tight deadlines.
