Director of Finance – Voices College Bound Language Academies – San Jose, CA

Voices College-Bound Language Academies (Voices Academies and the Charter Management Organization – CMO) currently operates Voices College-Bound Language Academy (Voices Academy), its flagship school, serving approximately 435 students in grades K-8, in the Seven Trees neighborhood of San Jose, California. Voices Academies intends to open five additional campuses in the next four years to serve a total of 2,978 students at full capacity.

Voices Flagship school is unique in that it is one of the top three performing dual-language schools in California, and has consistently posted high API scores. Both English and Spanish speaking students learn mostly in Spanish the first few years of school and then switch to English in the latter years, resulting in bilingual students who achieve at high levels.

Responsibilities

The Director of Finance (DF) manages the financial resources of the Voices Network including accounting, finance, and organization-wide budgets in accordance with generally accepted accounting principles (GAAP). Together with the COO, the DF will oversee all organizational-wide contracts, review and update financial policies and procedures and internal controls, ensuring the protection of the organization’s assets.

The position is a hands-on position requiring an ability to handle day-to-day administrative duties as well as the long-range planning and leadership activities of the position. The Director of Finance will help create and manage financial policies and systems that support the schools’ mission and culture of achievement. The Director of Finance will report to the COO and will be accountable to the principals of the schools. Together with the COO, s/he will lead the network and the schools in all areas of finance including:

• Manage day-to-day financial operations for the CMO and the schools with responsibility in the areas of accounting, banking, budgeting, procurement, and financial planning. These areas include but are not limited to:

o Formulation of budgets and forecasts for the CMO and schools

o Updating the accounting records for the CMO with timely monthly closes;.

o Oversight of the schools’ accounting, ensuring completeness and accuracy

o Banking and investments, including cash management

o Manages the cash flow position of the networks’accounts

o Manage the network-wide financial statement audit and work with the schools’ business manager to prepare them for the schools’ audits

o Resolves issues resulting from financial audits

o Ensures an effective and efficient system of internal control

o Maintains compliance with governmental regulations and GAAP

o Work with outside payroll providers to oversee the preparation of the quarterly tax reports and W-2s

o Work with each schools’ business manager ensuring the completeness and accuracy of the filing of 1099s

• Perform on-going analysis and develop process improvements that ensure the Network’s financial health. Activities may include assessing monthly cash flow; managing relationships and negotiating with vendors, auditors and government agencies; and developing streamlined purchasing, payroll systems, and on-going expense tracking.

• Prepare reports for the Board of Directors that analyze budget performance, variance and trends to ensure continuous flow of information for financial transparency. In addition, the Director of Finance will work with the Development Director to develop and monitor grant budgets and assist with other fundraising activities as necessary.

o Serves as the key spokesperson to the Board and the community regarding all fiscal matters.

o Develops recommendations to the COO, the Board and related Committees in all matters pertaining to the overall financial objectives.

o Develops and implements a strategic plan for financial planning and budgeting.

o Develops, prepares and monitors the annual budget. Analyzes and reviews budgetary and financial data;

o On a monthly basis, preparation of network-wide financial statements, including statement of activities, the statement of financial position, budget versus actual variance reports and accompanying narratives for the board and as required,

o Provides financial data, cost analysis, and recommendations for all new and current programs.

o Provide midyear review and recommendations re: operating budget, revenue and expense.

• Serve as a full-time and engaged member of Voices’ staff, including accompanying students on field lessons, assisting with student recruitment and enrichment activities, and working with other staff members to ensure fulfillment of Voices’ mission.

Other

o Responsible for risk management and crisis planning.

o Acts as the liaison with school insurance providers.

o Keeps the COO and Board apprised of risk management issues, liability, rates, coverage and claims.

o Point of contact for legal / legislative issues impacting the school, acts as liaison with professional community (attorneys, accountants, etc.).

o Participate in the work of the management team and other duties as required by the COO.

o When appropriate, seek and explore opportunities to gain efficiencies in his/her role in the organization;

Skills & Characteristics

• 5-10 years’ experience in accounting, and/or finance preferred

• Bachelor’s Degree required, CPA or MBA preferred

• Excellent writing, communication, and presentation skills

• Comfort with working in a fast-paced environment and for a non-profit

• High proficiency in Microsoft Excel, PowerPoint, Word, and Outlook required

• Experience with accounting software (QuickBooks preferred) required

• Detail- and results-oriented team player who is dedicated to getting the job done

• Initiative and leadership skills

• Excellent ability in multi-tasking

• Experience in non-profit/education field a plus

• Unquestioned integrity and commitment to Voices’ mission

• Strong accounting, analytical and reporting skills

• Proficiency in net asset accounting
