Director of Operations / Finance – Cordoba Initiative – New York, NY

TITLE: Director of Operations & Finance

REPORTS TO: Executive Director

OVERVIEW:

The Cordoba Initiative seeks an experienced, highly motivated, dynamic director to oversee and implement its day to day administrative, operational and financial operations.

PRINCIPLE DUTIES:

Policies & Procedures

Develops policies and procedures in accordance with policies established by the board to ensure compliance with standards of conduct.
Communicates policies & procedures to all relevant staff.

Governance

Coordinates scheduling of board meetings.
Prepares and submits board package to board members.
Maintains record of board proceedings.
Ensures followup of relevant items.

Human Resources

Oversees and executes the function of Human Resources.
Responsible for facilitating recruitment, new employee orientation, and termination.
Retains search firm where indicated.
Liaises with I.T. consultant to set up new employees with email, computer, and server access; and to remove terminated employees from email access.
Responsible for administering health insurance benefits.
Handles staff leaves i.e. vacation, sick, personal leave, etc.
Ensuring timely performance reviews of staff.
Provide administrative oversight to staff, interns, and volunteers.
Develops job descriptions for new positions.
Maintains personnel files on all employees, interns and volunteers.

Financial Operations

Serves as the chief financial officer of TCI
Provides oversight and direction to the accounting function.
Manages & monitors accounts receivable, accounts payable, and cash flow.
Responsible for coding all transactions to the designated cost center.
Executes payroll function.
Approves all purchases requisitions.
Handles and approves all travel and expense reimbursements for staff.
Monitors donations to Cordoba Initiative; ensures that donors are acknowledged, and a donor data base is maintained.
Handles banking transactions.
Oversees annual independent audit.
Ensures that the annual 990 is filed in a timely fashion.
Facilitates quarterly board audit by board member.
Reviews monthly financial reports for submission to the board.
Ensures subscription/membership renewals/terminations.
Manages vendor management and vendor relations.
Maintains and ensures compliance with internal procedures.
Responsible for record keeping.

Project and Grant Management

Responsible for grant management.
Maintain financial records for each project in a manner that facilitates management reports
Ensure that accurate and timely financial statements are prepared in accordance with contract agreements with funders
Provide accurate and timely reporting on the financial activity of individual projects
Help prepare or review contracts with customers/clients and add new clients in recurring entry
Monitor contract spending by comparing budget vs. actual reports for each contract and communicate with program staff for variances

Contract Management

Executes contracts with vendors and consultants; responsible for contract renewal where applicable.
Responsible for contract renewal.

Media/PR

Liaises with media, PR, and I.T. consultants to ensure that Cordoba Initiative is well represented in the media and through its social media.
Oversees the development of the monthly newsletter in collaboration with the media and IT consultant. Develops content for the monthly newsletter.
Ensures that the website is updated.
Participates in the development of media/PR material.

Event Planning

Community & Interfaith Events

Serves as a member of the planning team for all Cordoba events.
Attends and participates in all Cordoba events.
Builds relationship with participants to advance Cordoba’s mission.
Ensures follow up.
Ensures that relevant content for media is obtained i.e. photos, script, links to posting, media coverage, etc.

Cordoba House, Chautauqua Annual Meetings

Coordinates the programs related to Cordoba House, Chautauqua.
Promotes the Cordoba House concept at Chautauqua Institution.
Builds relationships and contacts with the Chautauqua community and maintains records of supporters
Facilitates convening of the Advisory Board; records proceedings, and ensures follow up of decisions made at the board meetings.

Speaking Engagements/Book Readings

Responsible for ensuring smooth operation of scheduling, book ordering, pre-event publicity, travel, and post event media.

Network Development

Responsible for ensuring that a database on all Cordoba contacts is maintained and updated.
Actively develops contacts to build Cordoba’s network.

Document Management

Responsible for maintaining integrity of files (e-files & hard copy).
Responsible to ensure confidentiality of data.
Responsible for granting open access, read only access and access to confidential files to relevant staff.
Liaises with I.T. consultant to ensure integrity of server.
Maintains all corporate documents.

Assets Management

Responsible for ensuring the integrity of the office assets.

Other duties as necessary.

QUALIFICATIONS

Bachelor’s or Master’s degree and minimum of 7 years related work experience in the field of business, management, public administration, communication, or an equivalent combination of education and experience.
Exceptional organizational and communication skills.
Strong writing skills.
Experience with budgeting principles.
Highly detail oriented.
Self-motivated and a team player.
Experience with grant writing a plus.
Strong leadership and interpersonal skills.
Eagerness to work with a diverse spectrum of cultures, nationalities, religions and ideologies.
