Position Description
Finance Manager
The Finance Manager is a strategic partner, and reports to the Executive Director (ED). This position is a hands-on and participative manager that leads and develops an internal team to support the following areas: finance, business planning and budgeting, accounting, financial reporting.
The Finance Manager plays a critical role in partnering with the senior leadership team in strategic decision-making and operations.
Essential Functions
Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements in accordance with GAAP; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting.
Analyze contracts and grant agreements and ensure Reach Out complies with all commitments.
Monitor and report on the implementation of contracts and grant budgets; maintain monthly statement of program budget tracking to allow program staff to monitor budget spending and availability of funds.
Oversee the reconciliation of balance sheet accounts, bank accounts, credit card statements; prepare journal entries and conduct regular review of general ledger accounts.
Manage cash flow by monitoring cash position and performing cash flow projection.
Process biweekly payroll in QuickBooks.
Perform scheduled payroll tax deposits.
Generate and submit all required payroll tax reports, including annual W2’s and 1099’s.
Maintain up to date knowledge of GAAP requirements.
Coordinate and lead the annual audit process, liaise with external auditors and the finance committee of the board of directors; assess any changes necessary.
Oversee and lead annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team abreast of the organization’s financial status.
Implement a robust contracts management and financial management/ reporting system; ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
Effectively communicate and present regular financial reports and all critical financial matters to the Board of Directors.
Work with contracted independent auditors for annual A-133 audit.
Serve as a business partner to the ED and in collaboration with senior management staff on the organization’s financial, budgeting, and administrative processes—including HR, payroll, and benefits functions—continuously developing and improving systems.
Perform other duties as may be assigned or required.
Supervisory Requirements
The position reports directly to the Executive Director and has supervisory functions.
Educational Requirements
Required: Bachelor’s degree in finance, accounting or business administration
Preferred but Not Required: MBA, CMA, or CPA
Experience
A minimum of five (5) years’ experience, preferably in a non-profit setting.
Ability and experience to create individual program budgets as well as agency budgets.
Proficient in MS Office, intermediate to advanced Excel experience.
Proficient in QuickBooks for Non-Profit, including QuickBooks Payroll.
Excellent knowledge of GAAP procedures.
Knowledge and familiarity with OMB Circulars.
Ability to meet numerous deadlines.
