POSITION SUMMARY
The Manager of Finance & Operations is responsible for accounting and financial reporting, human resources administration and office operations including managing IT and equipment vendors. The position reports to the Chief Executive Officer and works closely with the Leadership Team and the Finance Committee.
Responsibilities
Financial Management
Implement, and enforce policies and procedures to ensure the accuracy of record keeping, the effectiveness of internal controls and the adequate safeguarding of the organization’s assets
Manage the bookkeeping and accounting for all affiliated organizations
Provide support to the CEO, Finance Committee, and Senior Management to prepare the organization’s annual budget for Board approval and any budget updates as requested by the Board
Reconcile general ledger accounts on a monthly basis including bank reconciliations
Produce monthly financial reports and periodic supplemental reports for the CEO, Senior Management, the Board of Directors, and the Finance Committee
Work with independent auditors to complete the annual financial audit
Coordinate and manage Form 990 preparation as well as the preparation and distribution of Form 1099-Misc
Human Resource Management
In collaboration with the CEO, manage and oversee the human resource function including:
Recruitment, hiring, and compensation administration
Benefits administration and oversight
New employee orientation
Performance management process
Support an environment where diversity and innovation is valued and embrace a culture where team members can perform in a high impact and efficient manner
Operations Management
Oversee administrative functions including IT and equipment vendors, office supplies and space moves to ensure smooth daily operations of office and equipment
Administer the procurement process and monitor and manage business insurance vendors
Identify critical gaps in administrative resources and tools and make recommendations to CEO
Management (Administrative/Accounting Staff)
Supervise Grants Administration Associate and Office Administrator:
Develop and manage work plans for each employee with coaching to achieve highest performance
Prepare and deliver performance plans and evaluations
Ensure that Accounts Payable and Accounts Receivable are handled according to policy and procedures
Qualifications
At least 5 years of overall professional experience
Demonstrated experience in financial management and accounting, ideally in the nonprofit sector
Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems
Highly experienced user of QuickBooks, Microsoft Office, Salesforce, and other technology
Excellent planner, analytical, organized, and a strategic thinker
Exceptional people skills and high level of proficiency in written and oral communication skills
High attention to detail and ability to prioritize effectively managing multiple priorities and deadlines
Experience with audit, budget, and resource development desirable
