Finance / Operations Manager – Virtual Enterprises International – New York, NY

Working in collaboration with the Executive Director, National Program Director and Development Director (Management Team), the Finance and Operations Manager will be primarily responsible in ensuring organizational effectiveness by providing leadership for the organization’s financial functions. The Finance and Operations Manager will oversee the accounts payable, accounts receivable, and billing processes as well as maintaining grant budgets, creating and maintaining organizational and program budgets, and working with VEI’s Professional Employer Organization (PEO) to review payroll and employee benefits.

Responsibilities

Manage day-to-day processing of accounts receivable and payable using QuickBooks, producing reports as requested
Reconcile monthly activity, generating year-end reports, and fulfilling tax related requirements
Maintain administrative financial files
Continually improve the financial and operational systems, processes and policies in support of organization’s mission — specifically, support better management reporting, information flow and management, and organizational planning.
Assist Management Team in creating annual organizational budget and monitoring cash flow.
Manage grantor contracts and reimbursement and reporting requests.
Oversee monthly and quarterly assessments and forecasts of organization’s financial performance against budget, financial and operational goals. Oversee short and long-term financial and managerial reporting.
Develop, maintain and monitor all fundraising and accounting systems and procedures capturing all pledges, billings and receipts and for the recording of all revenue transactions, recommend and implement improvements to systems.
Review monthly activity and reconciliations, generating year-end reports, and fulfilling tax related requirements.
Work with VEI’s Professional Employer Organization (PEO) to review payroll, employee benefits, and organizational insurance.
Review disbursement of checks for organization’s expenses.
Liaise with VEI’s accounting firm to prepare annual audit.

Qualifications

At least three years’ experience in Operations/Financial Management
Strong background and work experience in bookkeeping and finance.
Excellent computer skills and proficient in excel, word, database management and Quickbooks
Excellent interpersonal and communication skills both verbal and written
Budget development and oversight experience
Knowledge of tax and other compliance implications of non-profit status
Detail oriented with excellent organization skills
