Friends of the San Francisco Public Library is a member-supported, nonprofit organization dedicated to the creation, support and stewardship of a superior free library system in San Francisco. Our work enriches library resources and provides funding for branch renovations, capital improvements, children and adult programming, exhibits, acquisitions, and staff education.
Position Summary:
Reporting to the Executive Director, the Manager of Volunteer Services and Outreach will manage Friends’ volunteer services, identifying, recruiting, motivating and supervising volunteers for the organization’s locations, initiatives and events. This position will provide services to Friends’ constituent groups and is expected to discover and create synergies and opportunities for stewardship, planned giving, outreach, sponsorships etc.
Position Duties:
Volunteer Services
·Recruit, schedule, maintain and expand a workforce of over 150 long-term (ongoing 4+ hrs weekly commitment) volunteers in the following programs: Book Donation Center; Readers book stores; residential and branch book collection drivers; main office support. Meet regularly with staff to assess and improve these programs. Maintain strong presence and build one-on-one relationships with volunteers at sales venues.
·Recruit, schedule, train and supervise 350-plus short-term and seasonal volunteers for weekly, monthly, and semi-annual book sales. Maintain strong presence at these events. Foster relationships with local corporations, schools and community groups to source volunteers for these sales. Provide on-site supervision and support throughout major sales events.
·Create and maintain volunteer training and support materials—handbooks, checklists, SOPs, etc. for all volunteer programs.
·Maintain and, where necessary, create, electronic record-keeping systems for volunteer contact information, scheduling, and time tracking.
·Create and distribute electronic and physical communications to volunteers—newsletters, invitations, web portal, etc.
·Plan and host the annual volunteer holiday party, as well as at least one volunteer appreciation event per year. Maintain strong presence and build one-on-one relationships with volunteers.
·When necessary, handle consolation (illness, injury, bereavement, etc.), dispute resolution, performance evaluation, disciplinary action, and termination involving volunteers
·Where possible, create bridges between volunteer programs and other constituent programs—membership, planned giving, etc.
Outreach:
·Coordinate with marketing, communications, and book operations staff on activities that create revenue while enhancing volunteer recruitment and donor stewardship.
·Develop brochures and other appropriate collateral material.
·Work with staff to develop and implement comprehensive, long-term outreach strategies utilizing social media and more traditional resources to unify and simplify messaging to all constituent groups—members, staff, volunteers, SFPL staff, customers, cash and in-kind donors, vendors, commissioners, other libraries, members of government, other booksellers, literary organizations, affinity groups, sponsors, etc.—past and present.
Other:
·Evening and weekend assignments.
·Other duties as required.
Qualifications:
Three or more years of experience with volunteer management and supervision.
Superior interpersonal, analytical, oral and written communication skills.
Knowledge of social media revenue generation, Bay Area funding and cultural community.
Equally diplomatic and at ease working with community leaders, donors, committees and volunteers.
Ability to balance multiple top-priority tasks and competing responsibilities.
Thorough knowledge and understanding of MS Office products. Raiser’s Edge database experience preferred and other donor/member related database experience wanted such as Constant Contact, SAGE, Net Community.
Ability to fulfill physical requirements of job – lifting (up to 35 pounds), carrying of supplies, materials, standing and moving for several hours during events.
Expertise using social media as a communication, recruiting and development tool.
