Office / Human Resources Manager – Progressive Animal Welfare Society – Lynnwood, WA

A Northwest leader in protecting animals since 1967, the Progressive Animal Welfare Society (PAWS) shelters homeless animals, rehabilitates injured and orphaned wildlife, and empowers people to demonstrate compassion and respect for animals in their daily lives.

Position Summary:

To organize and coordinate most aspects of PAWS’ support and daily financial, human resource (H.R.) and business functions, point of contact for other employees needing assistance with such functions and the liaison to outsiders regarding them. To assist PAWS in ensuring an efficient operation.

Duties and Responsibilities:

In accordance with organizational policies, duties include but are not limited to:

Handles most aspects of financial operations, office management, accounting practices, reporting systems and employee benefits programs.
Archives financial records as scheduled.
Prepares/ supervises preparation of daily bank deposits, maintains an accurate and up-to-date register of bank balances, reconciles bank statements, handles petty cash and manual check needs.
Prepares payroll for production by outside vendor.
Oversees office space changes, equipment and vendor relationships, purchases/rental agreements, supplies and furniture, and inventory.
Coordinates the annual audit and 990 processes; prepares supporting information for the audit; acts as liaison with external auditors, banks and other financial institutions.
Assists with the development of the on-boarding process to ensure the best possible transition into the organization for new employees.
Works directly supervisors to assist them in carrying out their responsibilities related to H.R. policies.
Maintains all employee records and personnel files as required by law or PAWS’ policies. Handles administrative and H.R. matters associated with the beginning or ending of employment.
Maintains an orderly and complete filing system of all documents related to business or administrative activities including organizational records, and state and federal filings and contracts.
Maintains financial records and reports for PAWS as needed including injury reports, worker’s compensation, unemployment, business taxes and board records and minutes.
Serves as an initial troubleshooter for telephone system, copier, postage meter, and liaison with outside professional consultants and repair-people when necessary.
Assists and manages annual budget preparation process in conjunction with the Deputy Director and CEO.

Supervises Accounts Payable/Bookkeeping Coordinator.
Assists with scheduling of board meetings and other activities
May perform other duties as required by the Deputy Director and CEO.

Controls over Work

The Office Manager works under the general direction of the Deputy Director and is expected to pursue the established duties without detailed supervision.

Written performance evaluations will be given after the first three months and first twelve months of work and annually thereafter.

Physical Demands

The work requires long periods of sitting at a desk while using a computer, calculator and other office equipment.

Requirements

Must have a college degree or equivalent experience and be able to read, write and speak clearly in English so that written and verbal instructions can be given and followed.
Knowledge of internal controls.
The ability to juggle demands, prioritize, and follow through to timely completion.
A talent for planning, looking ahead, expecting the unexpected.
Must understand the essentials of H.R. management and conflict resolution; able to work maturely and respectfully with diverse groups of people and represent PAWS professionally at all times.
Willingness to consult openly and regularly with the Deputy Director and CEO on matters relating to definition and accomplishment of tasks.
Good communication skills, an understanding of accounting, speed and accuracy with a 10-key, experience with all Microsoft Office applications necessary; experience with QuickBooks a plus.
Must maintain a high level of confidentiality and have a tactful, mature and sincere attitude.
Must be able to be bonded for the purposes of handling cash.
Must have or be able to obtain a valid Washington driver’s license with no major or repeated minor traffic offenses.
Must be willing to work in a dog–friendly office.
