Office Manager – Habitat for Humanity of Northern Virginia – Alexandria, VA

Summary: This position will provide support to Habitat for Humanity of Northern Virginia operations through financial bookkeeping and administrative support.

Responsibilities:

Accounts Payable

Record deposits into General Journal
Processes vendor invoices and employee reimbursements in the accounting system for payment
Codes expenses to the proper general ledger and classification/cost center codes
Accurately enter vendor invoice detail including bill/invoice number and invoice due date
Maintain accurate vendor information on the accounting system
Create voucher package for filing
Print vendor checks on the accounting system
Mail payments to vendors as needed
Monitor compliance with document retention policies
Monitor/handle all issues involving credit cards including compliance with industry standards and merchant services
Other financial/bookkeeping duties as assigned

Administration

Provide daily administrative support to the affiliate including: basic reception, answering and directing public inquiries, processing and distributing mail and keeping work areas clean and professional looking.
Lead reporting to Habitat for Humanity International, quarterly.
Oversee office management functions: maintain communications with contractors, providers and vendors are necessary, order supplies etc.
Support Executive Director and Board of Directors by: filing all board & EC minutes, pulling together monthly dashboard and sending out meeting reminders. (Monthly & Bi-monthly)

Other duties as required.

POSITION SPECIFICATIONS:
Required:

2-4 years experience in office management, administration, bookkeeping, accounting or similar environment.
Bachelor’s degree
Proven ability to handle multiple tasks in a busy workplace environment
Strong relationship building skills
A team player, with the ability to work independently with limited supervision
The ability to establish and maintain effective working relationships with staff, board members and volunteers.
Ability to relate to and work with individuals of diverse races, cultures, faiths and income and skill levels
Ability to exercise independent judgment and discretion
Proficiency in Microsoft Office Suite.

Desired:

Familiarity with Habitat’s mission, methods, principles, and structure
Experience in and knowledge of fundraising practices and principles, special events, or customer service
Familiarity with SalesForce and Quickbooks.

WORKING CONDITIONS:
Indoors in air-conditioned/heated office, outdoors/indoors on-location for various activities

Work Hours:
Hours to be determined in accordance with the changing needs of the affiliate; currently 40 hours per week
