General Description: The US Human Rights Network (USHRN), a national network of organizations and individuals working to strengthen a human rights movement and culture within the United States led by the people most directly impacted by human rights violations, is hiring an Office Manager. The Office Manager is responsible for organizing and coordinating office operations to ensure organizational effectiveness and compliance with labor law. The Office Manager will report to the Executive Director.
Specific Duties Include:
Office Management:
Serves as primary contact with office Building manager/personnel.
Orders and maintains sufficient office supplies for Atlanta and New York offices.
Purchases and maintains office equipment, including negotiating with vendors, conducting quality control and providing basic trouble shooting for equipment.
Ensures that office inventory (hardware and software) is reviewed and updated on an annual basis, and with all necessary information documented.
Manage day-to-day vendor relations for organizational needs including insurance.
Assists with establishing and organizing office operations procedures.
Maintain the office calendar and staff travel schedule.
Assists with/coordinates staff travel & meeting plans as necessary.
Maintains office filing system, both paper and electronic, and ensures up to date.
Ensures protection and security of files and records.
Transfers and disposes records according to retention schedules and policies.
Answers, screens and routes incoming telephone calls. Trains staff and interns to answer and route calls during their office hours. Manage general voice mail.
Processes mail, including overseeing large program-related mailings and express mail shipping, maintaining mail machine, and distributing mail to appropriate staff in Atlanta and in New York.
Ensures Executive Director and Accountant receive copies of all grant related correspondence once received, ensuring proper sign off and when relevant correspondence returned to relevant parties in a timely manner.
A/P Processing:
Reviews/prepares invoices/check requests for approval and payment.
Reviews all invoices for proper documentation/Submit invoices for approval.
Obtains signatures for processed checks/distribute signed checks as required.
Prepares credit card reconciliation for approval and payment.
Provides all Executive Director expenses to Treasurer for review and approval.
Responds to vendor inquiries, invoice adjustments, late payments, etc.
Monitor and track fixed assets
Manage consultant and vendor payment schedule
Assists in audit and 990 preparation.
Authority to deposit checks.
Other: Performs related responsibilities as required.
Minimum Qualifications: A bachelor’s degree and five years of clerical/secretarial experience; Strong organizational and administrative skills a must; Must have experience in book keeping; Must be highly motivated self-starter, with strong work ethic, attention to detail, and organizational skills; Ability to interact with all partners in a professional manner, includes staff, board members, and USHRN members and partners; Must be able to maintain confidentiality; Ability to multi-task is essential; Proficiency in computer programs is required (Microsoft Word, Excel, Outlook).
Desired Qualifications: An interest in or understanding of human rights and/or social movements in the United States.
Suitable candidates will be expected to exercise initiative and judgment and work closely with all staff to ensure the smooth operation of the office and administrative tasks and systems.
Location: USHRN has headquarters in Atlanta and an office in NYC. This position will be located in Atlanta.
Compensation: Salary range is $38,500 to $47,000, depending on experience, and is full time. Position is based in Atlanta.
