Operations and Finance Associate – The Tobin Project – Cambridge, MA

The Tobin Project seeks a highly motivated and organized self-starter to join our small but growing team in Harvard Square as the Operations and Finance Associate. This is a temporary role (set to run through July 1st) with the potential to become a regular position and is an unparalleled opportunity to be intimately involved with the inner workings of an entrepreneurial, mission-driven non-profit. The Operations and Finance Associate will report to the Director of Operations. Notable projects this spring may include: helping to manage the annual audit and tax process, planning and coordinating meetings with scholars and policymakers, and managing and coordinating an office re-design process. The position will be especially suitable for individuals considering future careers in the non-profit and public policy arenas.

Specific responsibilities include, but are not limited to:

Finance/Accounting: Assisting with bookkeeping, annual audit and tax preparation, grant administration and reporting, and budgeting.
Office Management: Maintaining all office systems and procedures, including computer, telephone, filing and record keeping systems; ordering supplies; managing relationships with building management and other vendors; answering the phone; developing systems and procedures to improve the efficiency of staff; maintaining records, data entry, and developing systems to ensure that the office is organized and operating effectively; organizing weekly staff lunch and other internal meetings.
Event Planning: Managing the planning and execution of events for the Tobin Project including large conferences and smaller meetings, including: preparing all materials for events; coordinating logistics for participants; arranging travel and accommodations; coordinating with vendors and venues; tracking expenses and budget; collecting and organizing expense reimbursements.

Qualifications:

A bachelor’s degree is required and work experience in a fast-paced office environment is desirable. Additionally, the applicant will have:

• Highly developed organizational skills and exceptional attention to detail;

• Strong writing and editing ability;

• Demonstrated ability to multi-task and manage competing deadlines and responsibilities;

• The flexibility and resourcefulness to master new and varied tasks;

• An entrepreneurial work ethic;

• The ability to work independently and as a member of a team; and

• Strong interpersonal skills.

Previous experience in non-profit finance or administration and working knowledge of accounting software (QuickBooks) and Excel proficiency is preferred.
