The mission of The Pablove Foundation is to: invest in underfunded, cutting-edge pediatric cancer research, inspire cancer families through education, and improve the lives of children living with cancer through the arts.
The Operations Assistant provides operations and administrative support to the all departments of the Pablove staff and reports directly to the Director of Finance & Operations. As the “face” of the office, professionally and pleasantly greet staff, clients, guests and vendors. The successful candidate is a positive professional who is eager to learn, gets along with differing personalities, will be flexible with changing duties or added responsibilities, and understands that every task they perform is essential to the smooth running of this office and the retention of our staff.
Primary Responsibilities:
Support Finance and Accounting functions wtih financial data entry
Maintain general voicemail and distribution of messages
Manages shared general calendar
Provides general administrative support to all departments as needed
Responsible for preparing overnight/outgoing mailings and picking up, sorting and delivering daily mail
Serve as go-to IT person for office issues when immediate hands-on assistance is needed
Oversee inventory and reorder office supplies as needed, including paper, printer ink, and stationery
Provides general administrative support to all departments as needed
Ensure kitchen and common areas clean and organized during the work day
Run errands including, but not limited to: post office, grocery store, bank, FedEx, and USPS drop offs
Liaise with internal staff at all levels
Qualifications
Strong attention to detail and the ability to prioritize work and meet deadlines
Superior ability to analyze situations that require forethought and follow-up with executives and multiple stakeholders
Knowledgeable of IT systems to foresee/troubleshoot staff needs
Capacity to work and thrive in a growing, fast-paced organization with a collaborative environment
Must be able to demonstrate proficiency in above tasks through previous work, volunteer, extracurricular or academic experience
Working knowledge of computers and software including, but not limited to: Microsoft Word, Excel, electronic calendaring, and email
Education and Experience
At least 2 years experience providing administrative and operations support preferably at non-profit organization
Proficient computer skills and in-depth knowledge of relevant software such as Google Calendar, Google Docs, MS Office Suite
Experience with Quickbooks, Expensify and Donor Pro or similar Donor Database a plus
Familiarity with peer-to-peer fundraising systems (i.e. Classy, Charity Buzz)
Knowledge of standard office administrative practices and procedures
Occasional travel is required. Must have valid driver’s license, reliable vehicle and insurance
