Operations / External Communications Associate – Bellevue / NYU Program for Survivors of Torture – New York, NY

The Program for Survivors of Torture (PSOT) is seeking an Operations and External Communications Associate. This position is charged with managing operations, finances, and external communications including volunteer management and fundraising initiatives. This position requires a person of high integrity who is a fast-learner and can adapt to multiple environments. Must be able to work independently but also know when to ask questions for guidance. Must be efficient with a great attention to detail.

Job Duties Responsibilities:

Operations

Work closely with PSOT leadership to:
Identify gaps in service
Develop strategic priorities around expansion of service delivery
Create internal systems for reporting and data collection
Interface with Bellevue Hospital environmental, facility, IT, and telecommunication services to ensure proper functioning and repair of office space, telephone system, and computers, as well as NYU School of Medicine IT regarding setup and maintenance of computers and electronic equipment computers
Support the Director of Operations to facilitate financial management of program including vendor management, requisitions, Purchasing and e-Procurement, grants budget management, Quickbooks,and maintenance of the Survivor Fund donations and the expense ledger
Manage encounter forms for Bellevue Billing department and process interpreter timesheets
Coordinate orientation process for new staff members
Order, distribute, and keep track of MetroCards and Medicaid reimbursement
Maintain inventory of office supplies and report purchasing needs to the Director of Operations; order stationary and business cards from printing services
Train and manage administrative interns

External Communications

In coordination with NYUMC and Bellevue, serve as PSOT’s primary contact for external communications, media outreach and program marketing materials
Work with administration to manage website and content updates
Support PSOT executive staff to identify, strategize, and pursue funding opportunities with foundations, corporations, alumni networks, individual donors, government grants, and any other strong prospects for sponsorship to increase revenue and develop a stronger donor base
Provide assistance with fundraising events as needed, including, but not limited to, the following: secure event space; communicate with caterers; help draft, revise, and edit the save-the-date, invitation, and journal; track attendees
Responsible for entering gifts received by the organization into the donor database and sending donor acknowledgments.
Coordinate PSOT’s volunteer program

Administrative

Maintain Outlook calendar for Program scheduling, conference rooms; schedule space with Ambulatory Care and Hospital Buildings for group psychotherapy
Coordinate the send out, fetch, and distribution of programmatic mail
Provide support for the Director of Training related specifically to the operational needs of trainees; including trainee workshops, ALEX, and introduction to PSOT office systems and management
Assists in drafting agendas and taking meeting minutes for executive committee, staff and advisory board meetings

Qualifications:

Superior written and oral communication skills, attention to detail, combined with highly organized and professional work style. Ability to draft original correspondence
Excellent interpersonal skills; able to interact effectively with a diverse and multidisciplinary group of staff, volunteers, advisory board members, and stakeholders
A resourceful style with the ability to work independently and as a team player, to take initiative, have research skills, manage multiple projects simultaneously, and meet short deadlines
Knowledge of and an aptitude for computer technology to accomplish work and to use Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook
Bachelor’s degree or equivalent experience required
Interest in health and human rights
