Position Description
Young Invincibles (YI), a national Millennial research and advocacy organization working to advance economic opportunity for young adults, seeks a part-time Operations & HR Coordinator for its Washington, D.C. headquarters. The Operations & HR Coordinator will work 25-30 hours a week and will assist the Operations & HR team by providing administrative and logistical support. The position will be a one-year position and may be extended based on performance, organizational needs and available funding.
The position requires the candidate to be highly organized and efficient. They have a keen eye for detail and knack for creative problem-solving. They have a strong internal motivation and are comfortable juggling multiple projects and tight deadlines. They are able to interact with individuals from diverse backgrounds with both sensitivity and professionalism, are an attentive and conscientious listener and can assist in HR and Operational situations with grace and a high standard of discretion.
This position is key to the operations team as it seeks continuous office improvement by building relationships and developing rapport with employees, seeking feedback, and demonstrates out-of the-box thinking in implementing new ideas and finding solutions.
Position reports to: Senior Manager of HR and Operations
Principal Responsibilities:
As an Operations & HR Coordinator you will support the HR and Operations team. Theses tasks include but are not limited to:
Office Management
Ordering office supplies for all 5 YI office locations
Managing technology inventory
Maintenance of DC office space
Communicate and follow up with vendors regarding various YI business
Maintain internal organizational records and documents
Finance
Process and track day-to-day finances including employee reimbursements, vendor invoices, utility payments, and company subscriptions.
Accurately maintain YI financial records (receipts, invoices, reports, etc.)
Shipping and mailing
YI credit card reconciliation
Assist Executive and Deputy Director in scheduling travel arrangements, meetings and reimbursement of expenses
HR
Follow up with YI staff on completion of necessary documents
Assist in drafting of policies, handbooks, PARs, etc.
HR document management
Communicate and follow up with vendors regarding various YI business
Assist with the organization of employee related events
Provide support throughout new hire onboarding process
This position will also take on other administrative and operational duties as assigned.
Qualifications:
Proven ability to organize, prioritize and complete multiple types of administrative tasks; strong attention to detail and accuracy; persistent follow-through skills
Excellent organizational, written and oral communications skills; ability to effectively present and communicate to all levels within an organization
Previous experience working with an operations or HR department is a plus
Must show a high level of discretion with confidential and sensitive personal information
Ability to work in a fast-paced environment
Strength in multi-tasking, goal-setting and problem solving, often under tight deadlines
