Job Purpose
The Special Events Coordinator is responsible for the coordination of all events of the Ed Fund. This position is responsible for developing and implementing an annual strategic event plan in collaboration with the Deputy Director. The range of events (a minimum of 20) will include small intimate receptions, an annual fundraising gala, four to six community volunteering events, and a city-wide teacher appreciation party for 500 Oakland teachers.

Duties & Responsibilities
Develops an annual plan of creative event solutions that meet the needs of the Ed Fund and effectively reach the diverse desired audiences.
Coordinates overall event budget and timeline; allocates expenditure within the department budget.
Provides ideas and guidance on the design and creation of invitations and any other relevant printed and online materials needed.
Oversees the confirmation and recording of RSVPs.
Enters and maintains event data in Salesforce data system
Supervises and coordinates event volunteers as well as all event consultants / vendors.
Maintains files for each event including: purchase orders, copies of invitations, rsvp lists, anecdotal comments and conversations at events.
Maintains the event calendar for the Ed Fund, compiles listing of completed and upcoming events from the calendar to be included in packets for the Board of Directors and Major Gift Committee meetings.
Conducts post-event review to assess key successes and learnings and implements improvements as needed.
Works with Director of Communications to write and publish relevant social media content as necessary.
Other duties as assigned.

Required Qualifications:
Minimum of three years Meeting Planner/Special Events experience, preferably for fundraising purposes
Ability to pass a fingerprint, background check, and TB test
Must have own reliable car and requisite insurance for use on job or other means of transportation.
2 to 4 years of experience using computer programs such as Word, Excel, and databases.
Deep commitment to and passion for the power of a community to transform public education so that the quality of Oakland’s public schools matches the potential of Oakland’s children.
Strong organizational skills, excellent attention to details, and ability to manage multiple competing deadlines required.
Ability to verbally communicate and respond to requests from staff, donors, vendors, and the public for the planning and implementation of special events.
Excellent interpersonal and writing skills.
Some evening and weekend hours will be required.

Preferred Qualifications:
Experience preparing and monitoring budgets.
Experience using Salesforce CRM or similar cloud based data management systems
Bilingual in Spanish
2 or 4 years college degree or equivalent experience
