Administrative Assistant – MapLight – Berkeley, CA

MapLight, an innovative, award-winning nonprofit that tracks money’s influence on politics, is seeking an Administrative Assistant to join its dynamic team.This position is full-time and based in downtown Berkeley, California (close to BART).

MapLight’s groundbreaking work links campaign contributions with how legislators vote, revealing how money and politics affects the specific issues people care about. The Administrative Assistant will serve as the assistant to the Deputy Director and support the work of the development team and the organization as a whole. The ideal candidate will have excellent organizational skills and communication skills, along with a personal dedication to MapLight’s mission and work. We are seeking someone who is interested in remaining at MapLight, and in this role, for the long-term.

As a rapidly growing organization with a full plate of projects for the upcoming election cycle, MapLight’s work is constantly evolving. Here’s the type of projects that you might work on in any given week:

Organizing and tracking to dos and deadlines.For example:
Taking notes and tracking follow ups during development team meetings, distributing detailed information to other staff members after the meeting, and tracking to do items to ensure follow through and guarantee that nothing slips through the cracks.
Assisting with administrative aspects of our foundation fundraising program.For example:
Tracking proposal deadlines and ensuring materials are submitted on time.
Logging reporting deadlines and grant commitments from approved proposals into our tracking system, and keeping on top of these deadlines to ensure that we are meeting our commitments.
Providing grant paperwork to our bookkeeper.
Communicating internally with other departments to alert them to information needed for upcoming reports.
Assisting with project management tracking.For example:
Sitting in on project check-in meetings for departments across the organization, listening in on status updates for current projects, and updating project management software to reflect any changes.
Creating and updating collateral materials for donors and the public.For example:
Printing and assembling “donor kits” with recent articles featuring MapLight’s research, information about our fundraising and budget, and details about upcoming projects.
Conducting prospect research before key meetings and assembling examples of MapLight’s work on relevant issues.
Assisting with administrative aspects of newsletter preparation, such as interfacing with the designer, printer, and mail house.
Maintaining records of incoming money, correspondence, and other records.For example:
Recording donations, grants, and earned revenue records in our donor database, CiviCRM.
Maintaining up-to-date physical and electronic records for foundations and donors, including logging correspondence and other notes in our donor database.
Other duties as assigned.

Required qualifications:

Extremely well-organized. Outstanding at managing lists, schedules, projects, calendars, and deadlines.
Excellent communicator, both orally and in writing.
100% attention to detail; 100% accurate; deadline- and detail-oriented.
Adept at managing multiple tasks simultaneously.
Strong sense of social judgment and tact.
Ability to anticipate and address problems; ability to propose and implement efficient systems to address them.
Computer-savvy, web-savvy.
Personal dedication to MapLight’s mission and work.
