Development Operations Coordinator – Heading Home – Charlestown, MA

Position Overview: Reporting to the development director, the operations coordinator will help plan, design, develop, and launch efficient and functional operational systems in support of Heading Home’s fundraising programs, and assist with the design and implementation of the organization’s direct mail and email annual giving programs. As a representative of Heading Home, the operations coordinator will ensure positive relationships with existing and potential donors, volunteers and staff.

Reports to: Development Director

Status: Full time, 40 hours a week, Exempt

Responsibilities:

Database Maintenance, Analysis, and Reporting

Creates and implements an active work plan focusing on continual improvement and integrity of the Raiser’s Edge database, including appropriate coding and fund allocation.
Tracks event RSVPs, generates name tags, and imports attendees into database.
Creates and generates Raiser’s Edge reports, including weekly gift reports, income projections, event reports, and specialized campaign prospect and progress reports.
Establishes system to track moves management within Raiser’s Edge, and utilizes complementary software to assist with prospect research.
Troubleshoots Raiser’s Edge issues, coordinating with IT and Blackbaud as needed.
Works closely with finance staff for monthly reconciliation and during annual audit.
Recommends, documents, and updates internal operational processes, and spearheads occasional staff trainings.

Gift Processing

Enters all gifts in Raiser’s Edge, including checks, recurring gifts, credit cards, online gifts, wire transfers/EFTs, gifts in-kind, and event ticket purchases.
Processes all gift acknowledgment letters in a timely manner.
Works with outside vendors to ensure that gifts of stock are processed and recorded.
Acts as first point of contact for donors with questions about giving to Heading Home.
Coordinates and executes pledge reminders and invoices.
Maintains donor files for individuals, foundations, and corporations.

Mailings & Direct Response

Works closely with development staff to implement strategies that leverage state-of-the-art direct mail, technology and social media tools to increase revenue.
Collaborates with outside vendor to ensure production, mailing and delivery of communication and direct mail, including annual appeal, annual report and newsletter.
Analyzes giving results and trends to document progress and activities.
Develops and monitors budget for direct mail and email programs.
Builds Raiser’s Edge queries and prepares mailing lists for direct mail, events, publications, and other department projects.

Other Duties

Represents Heading Home at events; periodic early mornings, evenings, and weekends.
Creates and maintains external contact lists (e.g., media, public partners).
Assists with board and donor-related communications.
Manages intern recruitment and coordinates intern workflow.
Assists with projects as determined by CEO and development director.

Qualifications:

BA/BS required
Three to five years of experience working in a data-focused development setting with solid Raiser’s Edge experience including queries, exports, imports, and reporting
Experience with implementing direct mail and email solicitation programs
Experience working with outside vendors
High proficiency in Microsoft Suite, as well as InDesign and MailChimp
Excellent analytical skills and attention to detail
Excellent interpersonal, organizational, and communication skills
Experienced team player with ability to train fellow staff
Discretion in handling confidential donor information
Proven ability to meet deadlines and prioritize tasks within a fast-paced environment
Commitment to Heading Home’s mission and the ability to communicate it to donors

Essential Functions:

Access to a car and has valid MA driver’s license
Able to speak over the telephone
Able to do work using computer keyboard and monitor
Able to lift at least 40 lbs.
