Manager of Development / Communications Operations – The SEED Foundation – Washington, DC

Position Overview

The SEED Foundation seeks a highly motivated professional for the position of Manager of Development and Communications Operations. The manager leads and executes the integral processes and systems to support development and marketing/communications. S/he will serve as the development operations expert not only for the Foundation, but also for the three SEED schools, and should therefore have a client-service attitude, the ability to troubleshoot, and the skills to train and lead development staff across the network in essential operations. S/he will supervise interns periodically.

Essential Duties and Responsibilities

Oversees User Experience for Development Operations Services

Provides general support and training to SEED staff across the network (Foundation and schools) regarding development operations policies and procedures, use of donor database, requesting or producing data and reports, helping maintain accuracy of data, and prospect research.
Updates processes based on feedback and continuous improvement efforts, as well as the changing needs of frontline development and communications staff.
Develops, recommends, and implements policy for development practices as needed, including interfacing of the donor database with other CRM, communications, and data tools or programs.

Gift Processing and Acknowledgement

Processes donations to The SEED Foundation (and, at times, for schools) in a timely and accurate manner.
Produces gift receipts and acknowledgement letters for approval, signature and mailing.
Responds to donor questions and produces donor correspondence as needed; maintains donor gifting history.
Updates donor database records and produces reports: Foundation Gifts, Foundation YTD Gifts, Miami Gifts, and Visitor Tours.
Conducts prospect research.
Tracks requests to tour SEED schools.

Assures Fiscal Accuracy of Fundraising

Is primary liaison with Comptroller to ensure monthly financial reconciliation; produces reports in an accurate and timely manner.
Reconciles gift/fund information and resolves discrepancies.
Assists in tracking of department’s budget and/or expenditures.

Management and Maintenance of Donor Database

Serves as database administrator for the donor database (currently Raiser’s Edge but likely to move to SalesForce.)
Implements strategies to help users follow policy and procedures related to record and data management.
Manages all data and report requests.
Ensures data integrity and security of information housed in Raiser’s Edge database and works to protect all confidential information.
Updates donor records and information as needed.

Fundraising Assistance

Provides strategic support—donor segmenting, targeted appeals, tracking—for direct mail fundraising campaigns.
Attends pipeline meetings to respond to data requests and assists with donor cultivation.
Assists in assembling/drafting funder grant reports.

Communications/Marketing Operations Support

Assists in revising and adapting the content of acknowledgment letters.
Maintains and provides updated contact lists for print and electronic mailings.
Provides support (mail merging, stuffing, postage) for mass mailings.
Provides on-site support for events as needed.
Provides any additional assistance to the communications team as assigned.
Essential Experience, Skills, and Competencies
Bachelor’s degree or higher
At least 3 years development operations experience
Expert-level knowledge of Raiser’s Edge; knowledge of SalesForce also desirable
Knowledge of development and fundraising principles
Strong attention to detail
Problem-solving and analytical skills
Ability to multi-task and manage priorities while maintaining high levels of detail
Exceptional client/customer service skills
Ability to train colleagues
Ability to collaborate
Ability to develop and maintain relationships across all levels of the organization with a broad spectrum of internal and external stakeholders
Proficiency with MS Word, Outlook, and Excel
Superior oral and written communication skills, including editing and proofreading
Excellent interpersonal skills
