About the Museum

The Rubin Museum of Art is a dynamic environment that stimulates learning, promotes understanding, and inspires personal connections to the ideas, cultures, and art of Himalayan Asia.

Now in its second decade, the Rubin welcomes over 175,000 visitors annually and has a growing membership of more than 4,000 households. Contained within five floors of galleries are several long-term rotating installations drawn from the permanent collection as well as frequent short-term loan exhibitions that are more broadly conceived in concept, art, geography, medium, and time. The Museum presents over 250 films, performances, and on-stage conversations annually as well as a robust roster of other educational initiatives. The ground floor is free-to-all and is a lively nexus for conversation, shopping, and refreshment.

The Museum’s collection includes over 3,000 objects spanning more than 1,500 years up to the present day. Renowned for its quality and depth, the collection focuses on art from the Tibetan Plateau and is broadened by a significant number of important examples from surrounding regions, including Nepal, Bhutan, India, Pakistan, Afghanistan, China, and Mongolia.

About the Position

The Membership Coordinator will play an important role of support to steadily increase the number of people who support the Museum as members, at all levels. Reporting to the Membership Manager, the Coordinator will be part of a two-person membership team in the External Affairs department of fifteen (15) staff members working on development and marketing/communications.

This position requires an individual with strong project management skills, attention to detail, and an interest in keeping up with and improving the day to day operations of a busy Membership department.

Responsibilities:

Responsibilities include but are not limited to the following:

Provides constituent services such as: answering and responding to all inquiries including telephone; email; and regular mail.
Processes and enters all membership gifts, including individual and year-end appeal contributions into database.
Supports department mailings including: list pulls, mail merge, and printing of membership cards, acknowledgement letters, and renewal notices.
Assists and attends membership and development events as requested.
Supports the Membership Manager with event planning, logistics, and follow up with potential for taking on more responsibility in this area.
Provides general assistance with Membership department’s daily operations.
Supervises volunteers and interns.
Coordinates our Matching Gifts program.
Works as a team member in the Development department on a wide range of fundraising and development issues.
Assists with Museum efforts to promote and increase membership through community outreach and special events, on and offsite.
Works with the Museum’s design and communications team to produce membership materials and electronic communications.
Works closely with the Admissions & Engagement team to streamline on-site membership acquisitions and renewals.
Produces reports and charts from fundraising database.
Assists Membership Manager in maintaining and managing the Museum’s fundraising database system -Raiser’s Edge.
Performs other duties as assigned.

Qualifications:

Bachelor’s degree required.
Proficiency in Raiser’s Edge required.
Knowledge of email marketing tool preferred (i.e. Mail Chimp, Constant Contact, etc.)
2 years of development/fundraising experience in the non-profit field preferred.
Must have excellent written, verbal and interpersonal communications skills.
Detail oriented and ability to manage multiple tasks required.
Proficient in Microsoft Office Suite applications: MS Word, Excel & Outlook a plus.
Work experience in a museum or cultural institution a plus.
Qualities such as flexibility, collaboration, and the ability to work well with others as well as a sense of humor are desirable.
