The position supports the Executive staff (President/CEO and VP for Admin), the Merchandise Department, and provides general office support for the institution.
Key responsibilities include: -Maintaining front office area, including ordering supplies and stationery -Processing Accounts Payable -Overseeing and tracking postage account, supplies, messenger service, professional development, travel and entertainment, dues & subscriptions and maintaining these budgets -Overseeing and tracking employees leave records -Scheduling, preparing materials for Board and Committee meetings -Maintaining various databases (Board, Committees, email groups, staff lists) -Performing general reception duties, such as responding to inquiries, faxing, mailing, filing -Posting internships; responding to applicants and general inquiries; following up with same -Assistant to President/CEO: maintaining calendar, making appointments, taking phone calls and messages and other help as needed -Assisting VP for Administration: clerical and administrative duties -Produce institutional data reports including extensive analysis within excel and report gathering from across the organization -Updating website -Maintain inventory of ink/toner, attend to office printers -Process merchandise sales reports (for on-site events and for sales via the Symphony Space webstore) -Maintain records of merchandise inventory (monthly and annual reports) -Receive and document merchandise commissions -Oversee on-site merchandise inventory (CDs, apparel, books) including shipping and re-ordering as needed -Provide technical support for customers of CDs or digital downloads (sold through the Symphony Space webstore) -Other duties as assigned. -The breakdown of time management is approximately as follows: 35% Special Projects for CEO/VP for Administration, 25% Merchandising, 25% Office Management, 15% Board Relations
Candidate should have strong computer skills: Excel; Outlook; and Word, including mail merge. Must be detail oriented, well organized and possess excellent interpersonal and communication skills.
