Operations Coordinator – Imagine Housing – Kirkland, WA

Imagine Housing seeks an organized, detail-oriented and motivated individual to support the Executive Director and ensure effective operations of Imagine Housing and its affiliate, Red Vines 1. The Operations Coordinator will provide support to the Executive Director, enabling the Executive Director to effectively lead and guide the organization. Through coordination of interdepartmental deadlines, Board development, community outreach and the schedule and activities of the Executive Director, the Operations Coordinator will help ensure that key elements of organizational operations are happening smoothly and in accordance with the Strategic Plan. The position reports to the Executive Director.

Imagine Housing is the primary developer of permanent affordable rental housing in East King County, Washington. DUTIES

Department Support

Provide direct administrative support to the Executive Director in the form of scheduling, communications and meeting support; create meeting reports, materials and agendas.

Translate Executive Director’s meeting notes into to-do and action items.

Collect notes from Executive Director’s meetings and enter information into donor database.

Respond to, file and prioritize emails for Executive Director.

Support other department Directors by communicating deadlines and ensuring that they have the support they need to meet those deadlines.

Organize monthly staff meetings and actively build a positive work environment.

Provide direct support to Fund Development with special events logistics, communications, social media, blog postings, community outreach, document editing, mailers, and other duties as assigned.

Imagine Housing and Red Vines Board of Directors Support

Supports Board of Directors in creating monthly Board meeting agendas and materials, reports, tracking rosters and scheduling external meetings. Facilitates Board member recruitment, onboarding and retention.

Provide support with developing and updating Organizational Policies and Organizational Procedures.

Advocacy Support

Coordinate Imagine Housing’s presence at the annual Housing and Homelessness Advocacy Day in Olympia.

Serves as staff liaison for Advocacy Committee by drafting agendas, developing advocacy priorities, relaying “Advocacy Calls to Action” and creating talking points for testimony at public hearings in support of affordable housing.

Other Administrative Support

Coordinate and oversee completion of Strategic Plan progress updates twice per year, including creating templates, sending requests for progress updates to Directors, ensuring that responses are collected and compiled and reviewing for accuracy and clarity.

Design marketing materials and infographics for agency, utilizing current and compelling statistics to demonstrate the need for affordable housing in East King County.

Design and implement staff and Board surveys and feedback systems and compile results.

MINIMUM QUALIFICATIONS

Bachelor’s degree and two years of related experience in a business or non-profit setting required.

Proficiency with Adobe Acrobat, InDesign, Raiser’s Edge and with the Microsoft Office Suite with particular proficiency working with Word, Excel and PowerPoint.

Ability to communicate clearly, professionally and diplomatically, both verbally and in writing.

Strong editor.

Ability to communicate, collaborate and work effectively with coworkers, visitors and community members from a variety of economic, cultural and ethnic backgrounds, with varying physical and mental abilities, and with diverse sexual orientations and gender identities.

Highly organized and efficient with an eye for detail and process.

Proactive – able to anticipate arising needs and take ownership over activities.

Resourceful problem solver.

Able to track and juggle multiple projects at a given time.

WORK SCHEDULE

Position is a full time (40 hours per week), hourly, non-exempt position. Hours worked will be weekdays between 8:00 a.m. and 5:00 p.m., or at a mutually agreed-upon schedule. Occasional overtime, evening and/or weekend work also may be required.

SALARY AND BENEFITS

Hourly range is from $20 – $23/hour, with actual hourly rate determined based on experience. Benefits include paid holidays, sick and vacation leave, company-paid medical, dental and life insurance and 401(k) matching contribution.
