Administrative Assistant – California Association of Nonprofits (CalNonprofits) – San Francisco, CA

The California Association of Nonprofits (CalNonprofits) seeks a smart, reliable and energetic individual to serve as our Administrative Assistant. The Administrative Assistant will support all of the activities of the organization with a focus on office administration and membership support. Reporting to the Program Director, the person in this position will play an important supporting role in the smooth operation of a busy non-profit with member organizations throughout California and staff in 3 offices. This position is ideal for someone looking for part-time work and who needs a flexible schedule. We do not anticipate this becoming a full-time position in the future.

EXAMPLES OF DUTIES

Office Administration

Maintain inventory and purchase all office supplies.
Be responsible for maintenance of office equipment, including printers and postage machine, for both San Francisco and Los Angeles offices.
Support Membership Manager in providing technology support for phones and computers.
Prepare CalNonprofits materials for staff to take to events and programs
Assist with other tasks as assigned which may include data entry, filing, copying, bulk mailing, excel spreadsheet preparation, ordering printed materials, running errands.
Maintain San Francisco office files and material storage in a safe and orderly manner.
Check and code invoices received from vendors and arrange for payment by CalNonprofits bookkeeper.
Follow procedures for logging cash and checks.
Interface with San Francisco office building staff and architectural firm
Serve as Onsite safety and workman’s comp coordinator
Answers public inquiries and refer to appropriate staff member as needed

Membership Support, under guidance of Membership Manager

Maintain and update membership database
Enter new contact information into membership database
Prepare and mail monthly membership invoices
Process new and renewing memberships
Answer member inquiries regarding their participation in member benefits program.
Participate in monthly member calling program and make outgoing calls to members..
Compile New Member packets

Part-time, 25 hours a week, Non-Exempt

Flexible Work schedule: Must work daily, Monday through Friday, flexible hours to be arranged within 9 am to 6 pm each day.

Qualifications

Commitment to the mission of the California Association of Nonprofits, appreciation for community nonprofits, and support for the organization’s strategic goals
Demonstrated ability to work with people of diverse backgrounds and viewpoints.
Strong customer-service orientation
Attention to detail
Some familiarity with the nonprofit sector (as volunteer, employee, board member, client, constituent, etc.)
Ability to communicate professionally and effectively in English (verbal and written, online and in social media)
Experience with business English including spelling and grammar
Demonstrated ability to operate in a fast paced, dynamic environment
Maintain high professional ethical standards
Ability to prioritize and manage multiple projects simultaneously
Take pride in responding quickly to all inquiries and requests
Impeccable follow-through skills
Intermediate to advanced skills with CRM databases, MS Office, including Word, Excel, PowerPoint/Keynote
Familiarity with Mac and other Apple products a plus

Education: Bachelor’s Degree preferred (not required)

Experience: Two years experience in professional office environment (nonprofit preferred)

License: Must possess a valid California Driver’s License, satisfactory driving record. Also must have use of a vehicle with current insurance.

Working Conditions

Work involves potential pressures generated by volume of work, frequent interruptions, seasonal work periods, and irregular hours to meet deadlines and achieve objectives. This position requires communication in English verbally, in person, by phone, by email, and in meeting/presentation settings.

Physical Demands

Work will include speaking, listening, seeing, extended periods of computer operation, possibly sitting for long periods and some travel.
