Administrative Assistant – California Long Term Care Education Center – Los Angeles, CA

Full-Time Position

The California Long-Term Care Education Center (CLTCEC) is an educational organization providing education and career ladder opportunities for homecare workers of California. The Center is funded through a combination of contributions, private and public grants. CLTCEC is dedicated to providing educational opportunities as tools of empowerment for long-term care workers to build better lives, provide quality care and meet and invest in the critical needs of the long-term care workforce.

Position Summary: The Administrative Assistant provides administrative services in support of various CLTCEC programs.

Reports to: Department Director or Designee

Specific Responsibilities:

Create, maintain, and enter information into databases.
Prepare program materials, including creating, copying program flyers and hand-outs.
Schedule and handle logistics for internal and external meetings.
Compile, copy, sort, and file records.
Deliver messages and run errands.
Answer telephone and give information to callers, take messages, or transfer calls to appropriate individuals.
Set-up and manage paper or electronic filing systems, record information, update paperwork, and maintain documents as necessary.
Operate office equipment, such as copiers or phone systems, and arrange for repairs when equipment malfunctions.
Schedule conference calls, meetings, and invite relative participants using outlook calendar invitation; attend meetings as assigned to take notes, prepare minutes, and execute follow-up work from meetings.
Take on projects with little guidance after initial briefing; complete projects on time and present to supervisor in a well thought out fashion.
Develop and maintain equipment and supply inventory system.
Maintain good and professional working relationships with community partners and stakeholders.
Prepare outgoing mail, including bulk mail.
Deliver messages and run errands.
Work on special projects as assigned.
Perform other duties as required to support CLTCEC programs and the mission of the organization.

Required Skills, Abilities, and Qualifications:

One year of full-time administrative office work experience.
Proficient working with Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook.
Proficient use of the Internet as a research tool.
Excellent organizational skills with high level of attention to details.
Demonstrated ability to maintain calm in stressful environment.
Ability to interact and communicate courteously and tactfully with managers, co-workers, students, vendors and stakeholders.
Demonstrated interest and/or ability to work in a multicultural/multiethnic environment.
Ability to work in a team environment with minimal supervision.
Ability to use tact and diplomacy and exhibit problem solving skills.
Ability to multi-task and work well under pressure.
Able to prioritize and complete workload.
Excellent punctuality and attendance.
Knowledge of administrative and clerical procedures and systems such as managing files and records, developing agendas, preparing meeting agendas and minutes, designing forms, and other office procedures and terminology.
Possession of valid CA Driver’s License and reliable transportation.
Bilingual skills (English-Spanish, English-Chinese, English-Armenian, English-Korean) highly desirable.

Physical Requirements: Sitting at a computer workstation for extended periods (up to four hours at a time) typing. Lift up to 20 pounds. Employees must recognize that working in a labor environment is demanding work, which sometimes requires working long or irregular hours that may necessitate over time.
