Function: This part time position will transition to full time with the possibility of permanent employment. The Administrative Assistant oversees the general administration of office functions for the Children’s Law Center including secretarial, reception duties, phone answering, equipment, purchasing and scheduling duties. In addition, the Administrative Assistant helps with the maintenance of all statistical and file-management data.
The Administrative Assistant is responsible for the following tasks:
1) Maintain and staff the front desk reception area including answering telephone calls, directing telephone inquiries to appropriate staff, greet clients and potential walk-in clients and direct to appropriate staff as well as perform other general reception functions;
2) Perform general clerical responsibilities (i.e., typing, filing, copying, and intake) in an efficient manner;
3) Maintain procedures for distributing and processing mail and other office correspondence;
4) Maintain procedure for ordering all office and general supplies to ensure the smooth operation of daily activities and functions;
5) Coordinate the use of office equipment including computers, copy machine, facsimile machine, including proper use by staff, students and volunteers;
6) Assist with maintaining the file management system with direction from supervisor.
7) Maintain procedures for organizing student and staff schedules, work space, staff contact information, etc.;
8) Attend and participate in staff meetings and other organizational meetings as appropriate;
9) Assist in phone calls, planning and organization of meetings and special events with planning team and supervisor.
Qualifications:
Minimum of one to three years of professional experience in an executive/upper management administrative support role.
Excellent written and verbal communication.
Proven track record of working with a wide-array of professionals and community members from varying backgrounds.
