CYCLE Kids is a national non-profit organization founded in 2004 with a mission of strengthening the emotional and physical health of underserved kids by inspiring them to lead active and healthy lifestyle, using the fun and practical skill of riding a bike. CYCLE Kids provides schools with a well-developed curriculum that teaches children about bicycling and nutrition. The program helps kids build confidence and social skills, find strong support systems in communities, develop healthy nutrition habits, and learn a new skill that gets them active every day.
We are looking for a professional seeking meaningful work in a growing organization to ensure the efficient day-to-day operation of our office. The ideal candidate will have experience handling a wide range of administrative tasks and will be able to work independently with little or no supervision. This individual must be well organized, flexible, have outstanding communication and writing skills, and be extremely detail oriented.
About the Position
This is a part-time position (with the potential to become full-time) based in our Harvard Square office, reporting to the CYCLE Kids Executive Director and Program Manager. The ideal candidate will be interested in working with an organization to help it grow to it’s next level, and be able to grow with the position. Experience with Salesforce (or other similar databases), proficiency in MS Office programs, as well as a strong history of supporting the work of management and other staff is required.
Essential Duties and Responsibilities
Reception
Answer general phone inquiries using a professional and courteous manner.
Direct phone inquiries to the appropriate staff members.
Reply to general information requests with detailed and accurate information.
Office Administration
Create spreadsheets, reports, and documents using MS Office programs.
Enter program and contact data into Salesforce, organize data, and create reports.
Update and ensure the accuracy of the Salesforce database.
Create large scale Mail Merges using MS Office and/or Gmail.
Assist with Financial Management
Prepare quotes and invoices for goods and services.
Follow-up on quotes and the payment of invoices with school districts, community organizations, and city offices.
Prepare tax letters and document all donations appropriately and in a timely manner.
Code and file material according to the established procedures.
Month end duties as required.
Provide Board Support
With the Executive Director, prepare meeting agendas and supporting material for distribution.
Ensure the timely distribution of material to the Board.
Draft minutes of Board meetings for review by the Executive Director.
Create action lists for CYCLE Kids management and board members.
Qualifications
Bachelor’s degree preferred
3-5 years professional experience (minimum)
Proficient in MS Office
Experience with Salesforce (or other database)
