Administrative Assistant
The GBS | CIDP Foundation International, a non-profit organization, is seeking a self-starting professional to provide administrative support for Finance Director of the Foundation. The Foundation is a non-profit entity providing support, education, research, and advocacy for patients, families, and caregivers who have GBS, CIDP, or related variants such as MMN. This full-time position is available starting mid-April 2016.
The Administrative Assistant is responsible for directing incoming phone calls, taking accurate messages, maintenance and use of office equipment, ordering office supplies when needed, receiving all deliveries and ensuring distribution of shipments and incoming mail, posting mail and sending packages via UPS. This also includes maintaining a log of all Foundation literature and promotional materials. This position will also provide administrative and clerical support as needed.
Additional responsibilities may include support for special events: name tags, tent cards, mailings and mail merges. This position will also have access to our database and will help to maintain data records. The Admistrative assistant will work closely with the Community Engagement Associate to execute support group and special event mailings.
We are looking for someone with a great attitude, willingness to learn, strong work ethic, organizational skills with an attention to detail and able to multi task. Duties include but are not limited to: Maintain good communications and working relationships with staff and patients.
Job Qualifications:
• Practices good judgement, discretion and confidentiality of sensitive information.
• An Associate’s degree, secretarial school degree or equivalent.
• Experience in administrative roles and have a strong attention to detail.
• Strong written and verbal communication, good phone manner and interpersonal skills.
• Experience in a fast-paced, responsive environment.
• The ability to prioritize assignments and ability to meet deadlines.
• Keen sense of organization, creative problem solving and excellent multi-tasking.
• High proficiency with Microsoft Office is crucial.
