Administrative Assistant
Seattle-based NorthWest Student Exchange (NWSE) is seeking an Administrative Assistant with advanced skills in a foreign language (German, French, Italian or Portuguese strongly preferred).
Join the NWSE team and provide administrative support to the NWSE program coordinators, utilizing your excellent organizational skills to assist them with a variety of tasks, from preparing mailings and processing documents to answering the phone. Enhance your cross-cultural communication skills and gain knowledge of international student exchanges in a casual yet professional setting.
Hours: 40 hours/week
Pay: DOE, includes health insurance
Requirements:
At least one year of experience doing administrative work in an office setting
Motivated to perform common administrative tasks, including answering the phone, preparing mailings, data entry, processing documents
Excellent organizational skills and attention to detail
Advanced writing and speaking skills in a foreign language, preferably in German, French, Italian or Portuguese.
Able to communicate clearly and professionally in English by phone and e-mail
Strong multitasking skills in a fast-paced environment
Comfortable working in a support position, receiving tasks from NWSE staff
Team-player and quick learner
Proficient in Microsoft Office
Strong interest in international high school exchange programs
Preferred qualifications:
Social Media savvy, experience with Photoshop, Publisher, PowerPoint, and/or other publishing/editing software preferred
Previous experience in living abroad
Tasks:
Assist International Program Coordinators with:
Processing student applications, preparing mailings to program participants, processing and following up on program documents
Handling administrative office tasks, including answering the main phone line, checking and distributing faxes, ordering office supplies, and data entry
Communicating with coordinators, students, families, schools, and partners in the U.S., Germany, and other countries
Additional projects and tasks as required (e.g. event planning, researching exchange-related resources)
Preference given to applicants residing in the greater Seattle area and are U.S. citizens or U.S. permanent residents. Applicants residing in other areas and/or having work permission will be considered.
