Job description
Northwest Healthcare Response Network (NWHRN) is a public-private partnership and nationally recognized nonprofit healthcare coalition, which serves healthcare organizations and their community partners through coordination of regional healthcare emergency preparedness, response and recovery initiatives. Based in the greater Seattle area, the Network’s membership includes representation from the major health systems and healthcare organizations in Washington State. NWHRN is seeking a highly organized, enthusiastic and creative person to serve as our Administrative Assistant.

This position will serve as the administrative assistant for the Director of Preparedness and Response and Senior Medical Advisor, and will provide comprehensive administrative support and coordination for program activities and events.

Main Duties
Administrative Assistant to Director of Preparedness and Response, and Senior Medical Advisor:

Schedule meetings and manage calendars.
Manage travel arrangements, receipts, track mileage and expenses, etc.
Write correspondence, assist with communications, and other administrative duties.
Prepare expense and other applicable reports.

Meeting Management:
Schedule committee or other program meetings or events (e.g. trainings, workshops).
Coordinate meeting logistics, such as identify and reserve rooms for meetings, order catering, prepare materials, communicate with speakers, and coordinate other staff to assist with logistics.
Support onsite logistical event management as needed.
Write meeting summaries or meeting minutes as needed.
Provide general administrative information to staff to keep them informed of current program issues.
Create and manage Eventbrite registration for events as needed.
Manage contacts and distribution lists using Salesforce CRM.

Main Office:
Answer the main office phone line and greet visitors to the office.
Respond to a variety of inquiries and refer other inquiries to appropriate office staff.
Assist Office Manager with office duties, as assigned.

Knowledge and Skills
Highly organized and strong attention to detail.
Demonstrated ability to independently problem solve and analyze information effectively.
Strong customer service skills and the ability to establish and maintain effective working relationships with staff, community partners, and the general public.
Experience coordinating the calendars of senior staff.
Experience coordinating meetings (including the preparation of supporting documentation and the management of calendars) and produce meeting summaries or minutes.
Demonstrated ability to handle multiple competing priorities, manage workload and plan time accordingly.
Demonstrated ability to prepare, proofread and edit materials.
Experience with travel coordination and related logistics, and purchase of goods and services.
Proficient at an intermediate skill level in Microsoft Office Suite software and Adobe Acrobat.
Demonstrated experience with CRM systems, especially Salesforce, preferred.
Experience in healthcare and/or emergency preparedness desired.

Minimum Requirements
A bachelor’s degree. Equivalent education and experience will be considered.
5 years’ relevant experience

Other information
Regular and reliable attendance, excellent communication skills and development of effective working relationships are requirements of all NWHRN positions.

Staff may be required to play an active emergency response role (in office environment) in the event of a healthcare emergency or local disaster.

Washington State Driver’s License and ability to travel to meeting locations with limited or no public transportation may be required.
