MISSION: Cristo Rey San José is a Jesuit, Catholic high school that empowers students from underserved communities in San José to be men and women for others who are prepared spiritually, academically, and professionally to complete college and who will become accomplished leaders committed to a lifelong pursuit of learning, faith, and justice.
OVERVIEW: Cristo Rey San José seeks an Administrative Assistant/Receptionist. The Administrative Assistant/Receptionist reports to the Director of Operations and serves as the first point of contact for all whom enter or call our school. An ideal candidate is welcoming, energetic, enjoys communicating with families and our partners, and takes pride in making a positive first impression. Additionally, this person will serve as an Administrative Assistant to the Academic and Operations team in a variety of ways requiring attention to detail.
RESPONSIBILITIES
Receive and relay telephone, fax, and postal correspondences
Greet and direct parents, visitors, contractors and guests to the appropriate staff member
Coordinate the receipt and delivery of packages, supplies and other shipments
Maintain electronic calendar, student contact information, and other electronic records as necessary
Respond to public inquiries
Provide word-processing and secretarial support for the administration, especially mail merge communications with parents/guardians
Assist academic leadership team with preparation of materials for professional development
Assist operations leadership team with preparation of materials for Board members and meetings
Oversee the use of supplies and equipment
Assist families with basic admissions information collaborating heavily with admissions department
Manage the distribution and purchase of uniforms
Assist with tuition collection and other fees paid to the school
Assist counseling team with scheduling student and parent appointments
Assist with the oversight of the security system
Coordinate the repair and maintenance of office equipment
Providing other administrative support to the academic and operations team\
QUALIFICATIONS
Associate degree or higher required
Personal alignment with the Cristo Rey mission
A positive, outgoing and service-oriented personality
Open to growth and excited by the potential accomplishments, innovations, and challenges associated with a start-up school
Experience directly related to the responsibilities and duties outlined above
Experience with Google Apps and Microsoft Office
Must be a reliable self-starter with ability to work to high standards without close supervision.
Reliability especially as it pertains to timeliness and deadlines
Demonstrated professionalism and conduct as it pertains to performing tasks in a school setting
Team player with strong communication skills
Complete fluency with written and verbal Spanish is required
