Administrative Assistant to the Executive Director

Center for Reflective Communities (CRC) is a nonprofit organization dedicated to strengthening bonds between children and those who care for them, engendering healthy development for all children, families, and communities. Founded in 2008, CRC establishes community partnerships with agencies serving at-risk communities, then implements the culturally competent provision of our research-based reflective parenting groups—groups that transform parent-child relationships, reduce hostile interactions and abuse, and directly impact the lives of children and families.

Center for Reflective Communities currently has an exciting opportunity for a detail-oriented person with superior office administration and exceptional relationship-building skills, during this critical phase of CRC’s expansion as a nonprofit. The Administrative Assistant to the Executive Director reports directly to the E.D., supporting board and leadership team efforts to achieve CRC’s mission and vision. Position requires high attention to quality and enthusiasm for implementing the processes and procedures that will take our nonprofit organization to the next level. The Administrative Assistant provides operations support to the E.D. and leadership team, including: coordination of trainings, service delivery sites and billing; management of program incidentals; streamlining of processes and procedures to improve overall efficiency.

Proficient in Microsoft Office (Excel, PowerPoint, Word)
Able or willing to learn to update a WordPress website
Experienced in or willing to learn QuickBooks
Familiar with or willing to learn tech tools such as Webex, Huddle, Constant Contact, Skype
Preferably has a good eye for design—helpful in creation of marketing materials, newsletters
Three to five years experience in office administration, preferably in nonprofit sector
Has a college degree—nonprofit management background and familiarity with mental health/psychology a plus
Wants to grow with a growing organization of passionate nonprofit leaders

Job Responsibilities:

    Operations

– Organizes staff meetings; prepares and distributes minutes – Responds promptly to administrative and training inquiries by phone and email – Maintains Huddle, WebEx, CRC website and email accounts – Supports E.D. in prioritizing leadership team activities and follow-through – Supports E.D. in creation and implementation of organizational policies and procedures – Helps coordinate special projects and events

    Programs & Trainings

– Creates forms and other training documents – Prepares and helps coordinate delivery of trainings with trainees, training sites and trainers – Supports trainee/staff integration of OTIS, CRC’s innovative training technology

    Finance

– Oversees A/P & A/R and maintains accounting files – Supports E.D. in ongoing budget preparation, presentation, and monitoring – Liaisons with bookkeeper & accountant

    Advancement (Fundraising & Marketing)

– Maintains CRC website and coordinates upgrades – Creates flyers, brochures, fact sheets – Assists E.D. in submission of grant proposals – Produces and distributes regular email newsletters – Coordinates donor and prospective donor events – Maintains data on donors and prospects – Ensures that gift acknowledgment letters are sent to donors in a timely fashion
