Position Summary

WYLD is seeking a dynamic individual who is personally engaging, a self-starter, poised, well organized, solution oriented and confident in a fast-paced business setting. The Admin / Program Assistant will at times be the front person and direct contact with clients / acquaintances and, therefore, must be well spoken, genuinely have an upbeat personality and be committed to helping the mission and Director. In addition to working administratively, the assistant will work as part of the WYLD team, in the field with our hiking programs. Effectively managing detailed and intricate afterschool and field plans, anticipating course needs and seeking out as well as providing pertinent feedback to guides and office staff are key to finding success in this role. Ideally you will or would be competent with outdoor living and have knowledge and capabilities in the care and maintenance of gear.

Qualifications

The ideal candidate will have a minimum of 2-4 years of professional experience. Experience with fundraising, partnership development, and philanthropic endeavors. Characteristics leading to success are detail orientation, problem solving, creative thought process, can handle sensitive matters and strong communication skills. Candidates actively involved in community development or non-profit endeavors strongly encouraged to apply. Bachelor’s degree is preferred but not required. Must have proficiency or ability to learn software including: Google Docs, Social Media platforms: Instagram, Twitter, Facebook, Pinterest, YesWare, Mailchimp, Salesforce, Google +, LinkedIn, MS Office – including Word, Excel, and PowerPoint as well as Adobe Acrobat.

Roles and Responsibilities

Correspondence and scheduling with field staff & client agencies

Field Curricula Review and Organization

Field & after school Course Coordination: transportation, medical & liability forms, calendar, media organization (photos & video)

Gear coordination

Ensure the productivity of the Director by anticipating next steps and reducing his time on or independently dispensing with administrative matters.

Communicate directly and on behalf of the Director with Board Members, Donors, Foundation Staff, and others related to all initiatives

Answering and routing telephone calls, transmitting decisions and instructions and answering inquiries to aid the founding team in the resolution of routine matters. Receiving and assisting visitors as appropriate.

Screening correspondence directed toward the Director usingtimely and accurate knowledge and clear judgment.

Composing correspondence and releasing under own signature and/or the Directorsignature as authorized.

Coordinating and preparing information (briefing/support materials/agendas) for use in discussions / meetings with prospective and current clients.

Prioritizing and managing multiple projects simultaneously.

Attending WYLD fundraising events, Staff meetings and Board meetings that may be at off typical hour times

Ability to work with people from diverse backgrounds/communities

General knowledge of working with a budget

Social Media Creation and Maintenance, Website Maintenance,

Event logistical Planning

Purchasing Gear, Food, Office Supplies, Catering Food etc.

Human Resource Management

Willingness to perform Organizational Research on subject foreign to them

Liaising with State and Federal Agencies Regarding Permits and Scheduling, File management

A sense of humor

Location: Office is located at Vermont & the 10 Fwy in Los Angeles, CA

Hours: The position is full-time.

Pay: Commensurate with Experience in relation to the needs of the position
