Position
The Administrative Training Associate reports to the Training Director and develops, implements, and maintains administrative systems in the training department. The Associate assists and provides ongoing administrative support to the training team around training contracts and deliverables including tracking of hours, billing, scheduling and confirming trainings, training venues, managing training calendar, as well as assisting with event planning and providing on-site training support. The Associate is results driven and helps the training team deliver quality and timely training and technical assistance to clients.
Responsibilities
Organize documentation by the creation of a filing system.
Maintain all training contracts, ensure execution, and create a repository of deliverables and any relevant documentation.
Serve as the internal and external administrative point of contact for the training department.
Create an internal repository of all trainings, supplemental materials, references, assessment tools and any other relevant training tool.
Assist in the creation of brochures, presentations, training guides, booklets, web pages, and any other written materials, as needed.
Schedule training sessions, book rooms, secure AV and notify all relevant parties.
Document, save and email meeting notes as needed.
Run monthly reports of hours and deliverables for training director to assess progress.
Enter data into database to track hours and deliverables.
Work with the fiscal team to produce monthly invoices for billing.
Ensure all training rooms / venues, equipment, catering arrangements, and other requirements are booked up or canceled in advance.
Send out appropriate pre-course information to delegates in advance of training courses.
Compile training support materials and assisting with the creation or formatting of these where relevant.
Manage prep, set-up, and break-down of training events
Send out course evaluation (feedback) questionnaires following training courses and compiling / communicating feedback to the training director.
Generating training certificates for trainees.
Other duties Apart from fulfilling their specific training requirements, training assistants are also in charge of taking care of administrative tasks such as handling the correspondence and write memos, e-mails, letters, making copies, provide the training department with general administrative support.
