Adminstrative Assistant to Executive Director – Homefirst Interfaith Housing and Family Services Inc – Plainfield, NJ

JOB DESCRIPTION:

Compile, assimilate, and prepare confidential and sensitive documents for the Executive Director and Director of Finance and Administration
Compose letter, emails and /or memorandums in response to inquires
Requires answering phones and filing
Create and implement reports as requested by Executive Director and Director of Finance
File appropriate notifications and information with various agencies, Union county, Federal, State agencies, etc.
Maintain Executive Director outlook calendar
Maintain records, documents and other confidential information and files
Participate on various committees with ED
Update and maintain all Board of Directors meetings
Maintain positive communication and work collaboratively with, Director of Programs and other Directors and staff
Prepare and distribute the monthly Board packet to the Executive Board of Directors
Assistant Director of Finance with Finance Committee packet
Prepare agendas and organize material for meetings
Prepare, post and distribute for all meetings
Coordinate special events for fundraising
Experience with QB is a plus
Assist with other duties as assigned by ED

Education and Experience: Degree in Business, Liberal Arts, etc. a plus

Experience with fundraising and/or Fund Development a plus

Five years of equivalent experience and demonstrates the ability to handle confidential information and to work independently at times.

Exhibits excellent interpersonal and verbal/written communications skills
Displays excellent organizational skills and attention to details
Extensive knowledge of general office manners, routines and procedures
Highly proficient in the following software programs: Word, Excel, PowerPoint, Outlook, Publisher, and other applicable software programs.
Proficient in initiating, developing and managing projects through completion
Knowledge of state and federal grant guidelines and procedures
Vast knowledge of existing technologies that support the efficient and effective operations of an organization
Knowledge of any donor/fundraising software a plus

Will consider employee with accounting,fundraising/fund development experience a plus
