Client Services & Training Assistant – Chicago – Women’s Business Development Center

Job description
The Women’s Business Development Center (WBDC) is a nationally recognized 501(c)3 economic development organization with 29 years of successful experience assisting women establish and grow sustainable businesses that create jobs and fuel economic growth. The organization delivers business development programs and services throughout the greater Chicago area and certifies women owned businesses and offers procurement services within nine states.

The Client Services/Training Assistant performs receptionist duties and is responsible for responding to all incoming telephone calls, greeting clients and visitors, data entry and a variety of support functions for the organization. The Client Services/Training Assistant serves as the initial point of contact of the WBDC and should be professional and courteous in dealing with WBDC clients, stakeholders and visitors.

REPORTS TO: Director of Operations & Technology

RESPONSIBILITIES:
First point of contact for all phone inquiries
Assess needs of caller, direct calls as appropriate and present general WBDC information
Process and record in-house payments made by cash, check and credit cards
Enter and update client intake information into client database system to maintain accurate records
Organize and staff evening workshops/events
Track and update workshops and events registration numbers on a weekly basis
Manage multiple counseling schedules, and appropriately schedule clients with counseling staff
Manage incoming and outgoing mail, faxes and UPS shipments
Aid staff with special projects
Administrative support to Certification Program
Other duties as assigned by the Director of Operations

REQUIRED SKILLS & QUALIFICATIONS:
Excellent customer service and problem solving skills
Strong written and verbal communication skills
Assertive, articulate, professional and able to work with a diverse team
Detail oriented and organization skills
Proficient in Microsoft Office: Word, Excel, Outlook, PowerPoint, Access
Demonstrated initiative and willingness to learn
Passionate about women’s issues and economic development
Ability to work flexible hours to staff WBDC evening workshops
Bilingual English/Spanish required
1-2 years work experience
