Clinical Administrative Assistant – Receptionist – Philadelphia – Pathways To Housing Inc

Position Summary: The Clinical Administrative Assistant/Receptionist provides administrative, clerical, data management and reception support for the Clinical Director and the Clinical Services Department. This position acts as an initial point of contact for participants, vendors, visitors and employees and is expected to provide exceptional customer service and to exhibit sensitivity to the needs of the people we serve.

Essential Duties and Responsibilities:
Coordinate and manage efficient communication systems within the Clinical Services Department.
Serve as the receptionist for PTHPA, receiving visitors, setting up for meetings, distributing phone messages, etc.
Coordinate calendar, meeting schedule, agendas, meeting rooms, set up, etc. for the Clinical Director.
Maintain calendar for Conference Room and Meeting Room.
Sort and distribute incoming mail including social security mail and utility bills, interoffice envelopes, FedEx, UPS, Staples and medication deliveries.
Provide computer/administrative assistant/data management support to the Clinical Director.
Facilitate meetings between all departmental administrative staff to ensure that all program assistants are meeting standards for collecting and tracking team data.
Manage purchasing, receipts and reconciliations as needed for the Clinical Director.
Maintain and update relevant databases including inputting new staff and client information into Credible and other databases as appropriate.
Prepare required monthly reports, as directed, to relevant licensing agencies and funding sources to be reviewed by the Clinical Director, including psych assessments and nursing numbers.
Maintain training files and track training.
Oversee community integration mailings to participants for calendar events.
Maintain clinical safe.
Responsible for laundry room including calendar, supplies ordering, and cleanliness.
Inventories 4th floor kitchen and office supplies and provides order to Human Resources.
Ensures that all equipment and telecommunication devices, including copiers, phones, etc are functioning properly and reports issues to the IT Director.
Facilitate ad hoc committees when necessary or requested.
Participate in planning various PTHPA events.
Perform other duties as assigned.

Essential Education, Experience and Skills:
High School diploma, some college preferred.
Patience, creativity, flexibility, compassion and sensitivity to persons with disabilities and other minority populations.
Responsible, organized and efficient.
Excellent communication and writing skills as well as computer literacy; experience with Microsoft Office products (especially excel) and use of the internet required.
Excellent typing skills and knowledge of office equipment (fax machine, scanner, photocopier, etc.) use and maintenance.
Ability to work with diverse populations including clients and staff in critical and emergency situations.
Sensitive to cultural, economic, gender, and sexual orientation differences.
Valid driver’s license and clean driving record.
