POSITION: Data Entry Coordinator

POSITION SUMMARY
The Data Entry Coordinator (DEC) is responsible for the day-to-day collection, reviewing and inputting of clinical data into NextGen and/or i2iTracks and other electronic database systems. The DEC assists with data quality and analysis of internal data and mapping. The DEC assists with Panel Management of patients. The DEC works as part of multidisciplinary team, and ensures accurate audit reporting and clinical care by focusing on data quality control and process improvement.
DUTIES AND RESPONSIBILITIES
Perform data entry into i2iTracks, NextGen or other database systems, in a manner that ensures completeness and accuracy of clinical data in a timely manner.
Responsible for mapping and analyzing medical, lab and any other health data in compliance with HIPAA policies and procedures.
Maintain absolute integrity of clinical data sets.
Develop and maintain a daily work plan that tracks activities and deadlines.
Interface with and provide progress reports to management.
Extract and compile clinical reports for management, clinical staff and various external agencies; reports will be routine, or ad hoc.
Work closely with the Clinical Data Manager and/or their delegate in the coordination and completion of all Indian Health Service (IHS) data for audits and the GPRA report.
Work with PM/EHR Project Manager and the Clinic Director on necessary expansion of the patient flow sheets, computer fields, and any required items for tracking purposes.
Actively participate in cross-trainings designed to ensure data information is consistently entered and reviewed.
Assist, with answering phones, making reminder calls, scheduling patients, pulling and filing charts and other clinical duties as requested by supervisor.
Send letters to patients at the request of providers (i.e., MD, NP, RN’s) and the Clinical Data Manager.
Proactively communicate with clinical and administrative staff about issues relating to quality and effectiveness of software database and clinical processes.
Attend trainings as assigned by direct supervisor.
Meet with the Clinical Data Manager and PM/EHR Project Manager on a regular basis to discuss work progress.
Any additional tasks assigned by direct supervisor.

Must maintain compliance with ergonomic safety standards; be mindful of posture and regularly practice ergonomic stretches.
Quality Improvement:Actively participate in internal quality improvement teams and work with members proactively to drive quality improvement initiatives in accordance with the mission and strategic goals of the organization, federal and state laws and regulations, and accreditation standards, when assigned.

MINIMUM QUALIFICATIONS
High School Diploma or GED is required.
An Associates or Bachelor’s degree in the health field is preferred.
Experience in medical, or clinical, data entry is required. (Candidates with training or certifications will be considered).
Excellent computer skills with knowledge of multiple applications (and/or SQL platform); preferably i2iTracks, RPMS, HealthPro, NextGen, Microsoft Word, Microsoft Excel and PowerPoint.
Excellent knowledge of medical terminology and ICD-9 guidelines is desirable.
Ability to work well independently and in a team environment; self-motivation.
Superior attention to detail and excellent organizational skills.
Excellent verbal, written, problem solving and interpersonal skills.
Experience working in a community clinic environment desirable.
