Kevah is looking for a full-time Database and Program Assistant to provide support with daily operations and manage key technology needs, helping to ensure our Kevah Groups program runs smoothly. This is a unique opportunity for someone to join a small, highly collaborative team and to play a key role in an organization preparing for expansion. Kevah’s main office is near Rose and Shattuck in north Berkeley, about a 15 minute walk from Downtown Berkeley BART, and close to several bus lines.
KEY RESPONSIBILITIES
Kevah’s Database and Program Assistant is responsible for managing key workflows to support the program and education departments, and supporting the organization’s daily technology needs. The duties of this position will likely shift over time as needs change and the organization continues to expand.
DATABASE SUPPORT (30%) Support the organization by helping ensure our primary database (Salesforce) runs effectively, including:
Act as Salesforce “super user” on an ongoing basis, training and supporting staff in daily use and access, troubleshooting system issues as they arise, and serving as liaison to Salesforce consultants
Maintain database and update as needed, ensuring it remains an accurate source of information
Project manage rollout of new Salesforce components, serving as liaison to implementation consultants
PROGRAM AND EDUCATION DEPARTMENT OPERATIONS (55%) Handle key workflows on an ongoing basis; track and report on Kevah Group and participant data, including:
Manage participant registration and payment, including setting up registration forms, sending instructions, and tracking and following up with non-payers
Manage the program evaluation process, including sending and updating surveys and creating reports
Track and report on Key Performance Indicators
Create status reports for Kevah’s organizational partnerships
Enter data into, audit, update, and pull reports from systems for Kevah Groups and participant management
Send contracts to active educators via DocuSign, under the guidance of the Director of Education
Manage month-end payments to all active educators in coordination with the Business Office and Education Department
Assist Communications staff with program-related website updates and improvements
Provide general administrative support for the department, including filing, monthly allocations, and travel arrangements
HARDWARE, SYSTEMS, and VENDOR MANAGEMENT (15%) Support the organization’s daily technology needs, including:
Provide basic tech support for staff; serve as go-to person for computer issue
Carry out routine support tasks for office hardware, including purchase, setup, and login management
Serve as primary contact for external IT vendors, filing support tickets as needed
Serve as Administrator of cloud-based systems; handle user management and feature setup
Maintain documentation of IT department workflows and procedures, in cluding Operations Manual and IT guides for staff
Other duties as assigned.
REQUIRED EDUCATION, EXPERIENCE, AND SKILLS
Minimum of a bachelor’s degree, though applicants in final stages of their bachelor’s degree may be considered
Strong computer skills, including Word and Excel, and the capacity to quickly learn and master new systems
Excellent written and verbal communication skills
Familiarity with database software (Salesforce or similar) preferred, but not required
Experience in a technology support role preferred, but not required
Interest in Jewish texts and culture preferred, but not required

Highly detail oriented, organized and efficient, with an affinity for tracking and tending to systems
Capacity to follow complex instructions and quickly learn new procedure and systems
Flexible and able to multi-task; can work within an ambiguous, fast-moving environment
Outstanding team player, enjoys working in close cooperation with other staff, in shared office space
Impeccable ability to maintain confidentiality
PHYSICAL REQUIREMENTS
Ability to communicate via phone and email
Ability to work at a computer for extended periods of time
Ability to lift and carry 30 pounds
WORKPLACE AND BENEFITS
This full-time non-exempt position is compensated at $16/hour. Benefits include medical insurance (employee premiums fully paid), as well as paid sick, vacation, and generous holiday schedule including Jewish holidays.
