Executive Assistant / Business Development Coordinator – Rosov Consulting LLC – Berkeley, CA

Job Summary

The Executive Assistant and Business Development Coordinator first and foremost provides executive level support to the Principal of the firm, with the goal of enhancing her overall effectiveness as the leader of the company. In this role, this position provides support to the senior leadership team, as needed, and serves as a member of the finance and operations team. Working closely with the senior leadership team, this position serves as the central hub for all new business development activities.

Key Responsibilities

Executive Level Support/General Administration (50%)

Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

Conserve Principal’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

Manage the Principal’s schedule and office time; ensure proper coordination with personal schedule.

Schedule and track Principal’s travel.

Hire and supervise intern(s) and administrative assistant(s).

Support senior leadership team, as needed.

Coordinate hiring and onboarding processes for new hires.

Liaise with operations team, as needed.

Maintain company’s current project database.

Coordinate and facilitate monthly all-staff meetings.

Business Development (50%)

Serve as the point person for tracking and organizing documents including client cultivation work, background materials, project cost estimator, proposal, and any other materials using web-based tools such as Google Apps.

Edit and proofread proposals and project cost estimator, as needed.

Schedule client intake meetings.

Draft client correspondence for proposal submission.

Draft Contracts including Independent Contractor Agreement, Memorandum of Understanding, and Contract Amendment.

Alert project teams to new projects and send all relevant materials.

Develop and implement processes for the timely execution and delivery of business development deliverables.

Required Education, Experience, and Skills

Bachelor’s degree required

Minimum two years of experience as an executive assistant

Minimum one year of experience working in a fast-paced professional environment

Outstanding computer skills, including full facility with MS Word and Excel and Google Apps for Work, as well as and the capacity to quickly learn and master new software and applications

Exceptional written and verbal communication skills

Additional Information

This is a full-time, non-exempt position based in our downtown Berkeley office during regular business hours of 8:30am – 5:30pm. Minimal travel is expected. We offer medical benefits, paid holidays, vacation leave, sick time, 401(k), and other benefits.
