Executive Assistant – Give an Hour – Bethesda, MD

Give an Hour™ (GAH), a national nonprofit in the Washington, D.C., area, providing free mental health services to military personnel and their families, is seeking a versatile, locally based, full-time Executive Assistant for the position described below. Although this is a virtual-office position, it requires regular business hours.

Description of Position: Reporting to the President, the Executive Assistant is responsible for organizing, scheduling, and anticipating all of the needs of the President. Specifically,

Maintaining President’s calendar and coordinating daily meetings and conference calls
Scheduling President’s travel plans including plane and train tickets, hotels, cabs, parking information, etc.
Tracking President’s receipts and expenses and filing expense reports on her behalf in a timely manner
Tracking contacts, meetings, correspondence, proposals, and needed follow-up for President
Drafting email communication and preparing documents to share with other contacts, organizations, agencies, board members, and community leaders on behalf of President
Preparing, editing, and organizing PowerPoints for high-level presentations
Performing internet research for President and related program staff on issues, programs, or opportunities
Working closely with the Director of Public Relations to coordinate press interviews
Working closely with the Manager for Social Media to promote President’s participation in various high level events
Assisting with quarterly Executive Board meetings and maintaining Board information
Checking Give an Hour’s P.O. box at least twice a week and distributing contents
Depositing and maintaining a list of donations that come in on a weekly basis
Working closely with the Development Assistant on funding thank yous
Sending out annual holiday cards and other mailings that require overview by President
Coordinating with various staff members: involves being gateway to President and conveying information or direction from her to staff members
Running errands for Give an Hour and President (i.e., getting food for meetings, handling personal errands for President)
Occasionally being available to President on evenings or weekends, especially when she is traveling

Job Requirements:

Ability to present information concisely and effectively, both verbally and in writing
Strong organizational and time management skills with exceptional attention to detail
A professional and resourceful style; ability to work independently and as a team player, to take initiative, and to anticipate tasks
Ability to track, prioritize, and follow up on multiple projects and assignments
Ability to interact professionally with high-level individuals
Ability to keep confidential and sensitive information
Strong computer and internet skills, proficiency in Outlook, Microsoft Word, PowerPoint, and Excel
Previous experience as an administrative assistant for an executive position; four-year college degree
